What does the job involve?
Responsible for Safe Work practices, planning, execution and monitoring of administrative processes of the facilities, equipment, tools, and systems of Łeba O&M Base.
You independently communicate within the immediate team, across different areas, and towards key stakeholders, including partners or external parties. You may navigate potentially conflicting agendas. You adhere to established procedures and identify as well as resolve challenges. You proactively seek continuous improvement, embrace change and ambiguity, You demonstrate flexibility to adopt new activities and ways of working, and take ownership of your own work. You follow and comply with safety, ethics, and compliance requirements and align leadership expectations and company values.
Please note that this position is based in Łeba.
What will my tasks be?
Within this position, your key tasks will be to:
Facility Operations & Maintenance
• Coordinate day to day facility operations, including cleaning, security, utilities, and infrastructure support.
• Monitor, in cooperation with provider of Facility Management service facility conditions and report necessary repairs or improvements.
• Support implementation of facility related scopes of work in line with internal frameworks.
Administration & Documentation
• Maintain, in cooperation with provider of Facility Management service accurate records of permits, inspection reports, equipment documentation, and service logs.
• Ensure alignment with job architecture and organizational frameworks in line with Equinor standards.
• Support documentation workflows, including internal systems (e.g., area descriptions, admin tools).
Vendor & Contractor Coordination
• Liaise with external vendors and contractors delivering facility services.
• Ensure contractors operate according to company policies, safety standards, and contractual requirements.
Space & Asset Management
• Track workspace allocation, meeting room readiness, and general office logistics.
• Support moves, additions, and changes across the facility.
Support to Operations
• Provide administrative support to the Operation & Maintenance teams where needed.
• Assist with facility related planning inputs, ensuring alignment with workforce needs and job family governance.
• First line of on-site IT support for office type equipment (staff personal IT equipment, conference room equipment, onsite WIFI, etc).

• Strong safety culture and adherence to high standard of safety rules.
• At least 2 years working with office coordination or similar administrative role.
• Strong skills in using MS office package.
• Good understanding of procedures and willingness to cooperate with the team.
• Being focused on proper organisation of the facility and work environment.
• Ability to read and understand procedures as well as participation in creating new procedures.
• Strong collaboration skills and creative approach to problem solving.
• Fluency in written and verbal Polish and advanced English.
