Main Duties and Responsibilities
Outbound Coordinator
Work with customers as well as internal and external stakeholders on a daily basis with the aim of developing an excellent working relationship.
Ensure appropriate, comprehensive and professional communication with internal and external stakeholders.
Liaise with all relevant departments within the Global and Domestic Marken network to ensure that all customer requirements are met.
Book and process shipment requests within Maestro, generate and verify shipping documentation where applicable.
Answer and deal with all general and/or shipment specific telephone and e-mail requests from customers and offices/agents.
Advise customers on latest booking times and documentation requirements.
Advise customers on a daily basis of any services related issues incl. provision of solution (e.g. Customs detentions, ETA of flights/trucks).
Perform pre and post shipment activities such as booking of Airfreight and/or overnight linehaul, upload of temperature data and other data into Maestro, filing and archiving records etc.
Provide clear and accurate information regarding the handling of shipments, especially when delayed.
Communicate with other MARKEN offices and overseas agents to confirm receipt of the pre-alert information during export.
Track and Trace ZRH Client shipments in order to ensure that these shipments are delivered within the agreed turn around time and stability.
Supply Customers with post shipment information and data such as temperature readings, Proof of Delivery details etc.
Supply customers with MARKEN Service information.
Provide potential customer information to the Line Manager.
Liaise with customers as required to ensure clarity of requirements, technical details, overcome problems, etc.
Evaluate overall feasibility of developed solutions in terms of packaging, quality and regulatory compliance.
Initiate incident handling process and subsequent routing to QC with required Information.
Responsible to assist with special projects as assigned.
General
Assist in performing Investigations for Quality Issues in cooperation with the respective Department Supervisor and/or Line Manager.
Adhere to all MARKEN Policies and SOPs at all times.
Partake in all training sessions set forth by MARKEN.
Actively participate in scheduled meetings to discuss services & operational performance and concerns.
Undertake any other reasonable duties at the request of the Line Manager or Branch Manager.
