How you will contribute

Independently:

  • Schedule appointments and oversee the calendar to manage competing priorities across C-suite executives and the Leadership Team

  • Coordinate group meetings, onsite and offsite events (including NWE LT Offsite meetings, market visits, CEO market visits and T2T customer meetings), travel reservations, receiving visitors, and claiming expenses

  • Be the first point of contact for all calls and emails relating to the office, responding to queries and requests in a timely and professional manner

  • Work collaboratively with cross-functional Administrative Assistants to align calendars for the Leadership Team

  • Be confident and firm when interacting with complex internal and external stakeholders at all levels

  • Take on ad-hoc requests and special tasks or projects with changing requirements

  • Prepare, revise and coordinate meeting and presentation materials, including European Working Council deck preparation

  • Own the running of operational meetings and interactions, supporting with agendas, pre-reads and maintaining the NWE LT Teams channel

  • Handle confidential and sensitive information with the highest level of discretion, particularly decisions impacting global operations

  • Shop Supply Coordinator:Lead a cross-functional international team to drive day-to-day Snack Shop operations and on-time product delivery, Request orders, initiate product activations/deactivation, and maintain information and catalogue of 250+ products on Teams

What you will bring

A desire to drive your future and accelerate your career and the following experience and knowledge:

  • Extensive experience as an Executive Assistant supporting C-suite within large, complex matrix organizations

  • Excellent written and verbal communication skills in Englishand basic German

  • Strong team player who can anticipate needs and respond accordingly while also working independently

  • Strong stakeholder management experience, preferably within a large matrix organization

  • Proven ability to manage sensitive information with a high level of confidentiality and discretion

  • Highly developed customer service orientation paired with strong organizational skills

  • Meticulous attention to detail when handling sensitive and high-priority information

  • Proactive attitude with the ability to work in a fast-paced environment across multiple time zones

  • Proficient in Outlook, MS Teams, Office Suite, and Travel & Expense systems (CONCUR)
