The Administrative Assistant provides high-level, independent administrative support by conducting research, preparing statistical reports, handling information requests, attending meetings, and completing various projects, and acting as a liaison for the executive director and medical director between board members, physicians, staff, other healthcare organization representatives, patients, patient family members, government and regulatory agencies, professional associations, vendors and the news media; provides general office and clerical work; coordinates meetings; handles confidential information.

Responsibilities:

  • Provides efficient, effective management support to department(s) including prepares documents in an organized, accurate, legible, and confidential manner to include follow up if deemed necessary.
  • Schedules and maintains of Director\'s calendar on a daily basis and coordinates Director\'s events and meetings.
  • Screens and distributes mail for Directors or Designees and performs and responds on Director\'s correspondence and reports.
  • Develops new office procedures as needed.
  • Organizes and maintains all files and records accurately, handles confidential information and/or compiles statistics utilizing analytical data including coordinates tracking of mandatory/safety training and licensure/certification for staff and unit to meet state and regulatory agency standards. Compiles statistics and designs presentations.
  • Coordinates competencies for department personnel.
  • Maintains confidential personnel files. Prepares agenda, meeting minutes, and supporting materials for teams, committees, and/or council meetings by assists facilitator(s) in carrying out follow-up actions; maintains meeting records/files.
  • Ensures that reports, studies, and other materials requested by team(s)/committee(s)/Council(s) are prepared.
  • Attends and actively participates as appropriate in all meetings and subgroups; attends and participates in designated staff and/or committee meetings as a team member. Assists in facilitating meetings in absence of Director.
  • Assists Director in assuring compliance with bylaws, policies, procedures, compliance guidelines.
  • Participates and supports quality assurance, performance improvement programs and processes.
  • Maintains all time and attendance activities for department(s) to accomplish accurate and timely completion of payroll.
  • Assists Director in maintaining budgetary expenses including purchases supplies, equipment and capital items for unit(s).
  • Processes check requests for reimbursements, continuing education and subscription renewals accurately and timely. Maintains adequate level of supplies in a cost-effective manner.
  • Performs other duties as assigned.

Required:

  • 3+ years related experience
  • High School Diploma/GED
