Key Responsibilities

General Administrative & Operational Management

  • Develop and maintain non-technical GTLC operating procedures.

  • Manage office supplies, consumables, equipment service contracts, and admin support.

  • Represent Site Manager or Instructional Supervisors for visitors, tours, and operational inquiries during absences.

  • Contribute to GTLC improvement projects and cross-functional initiatives.

  • Support onboarding of new-hire instructors at Xi’an GTLC.

  • Assist internal initiatives that improve operational readiness and capability development.

  • Maintain complete documentation and ensure compliance with policies (IP, confidentiality, safety).

Student Support

  • Primary interface for incoming students; ensure pre-arrival prerequisites are completed.

  • Communicate proactively on travel preparation and documentation.

Program, Project & Asset Support

  • Support asset management: tracking, labeling, lifecycle documentation, and audit participation.

  • Assist Site Manager in operational escalations; gather data, propose actions, and coordinate resolutions.

  • Ensure programs/projects meet requirements for quality, cost awareness, resource utilization, and timelines.

Qualifications

  • Bachelor’s degree in engineering, operations management, education, or related field (preferred).

  • 2–4 years’ experience in training operations, lab operations, logistics, or administrative coordination.

  • Strong communication and customer-facing skills; ability to work across global teams.

  • Proficient with Excel and PowerPoint; comfortable producing KPI reports.

  • Able to manage multiple priorities with high accuracy in a fast-paced environment.
