Contract Administrator Officer
Position overview
We are seeking a detail-oriented and proactive Contract Administrator Officer to manage end-to-end billing cycle and operational data, you will ensure the accuracy of Daily Drill Reports (DDR), process invoices, and maintain precise financial records. This role acts as a vital link between site operations and the finance team to resolve billing queries and support audit requirements.
Key Responsibilities
Update specific task numbers within CorePlan and ensure all operational data is accurately uploaded to the PWB database.
Review Daily Drill Reports (DDR) for technical accuracy, verify calculations, and ensure all reports are duly approved.
Issue invoices twice monthly by cross-referencing DDR and PWB datasets and submitting them to clients for payment processing.
Process back-charge invoices for site-related expenses such as fuel, lowboy, crane usage, and miscellaneous costs.
Prepare weekly and monthly reports on actual drilled meters, mud usage, and other operational consumables for management review.
Track unbilled items and provide monthly summaries of outstanding invoices to the Finance Team to manage follow-ups.
Assemble and organize all necessary backup documentation, including approved drill logs, required for client submission and audits.
Maintain up-to-date accounting records and ensure documentation is readily available for investigative purposes.
Communicate directly with customers regarding outstanding payments and resolve basic billing queries in a timely manner.
Ensure the uploading of rates and specific tasks into CorePlan upon project commencement and undertake additional ad-hoc assignments as required.
Qualifications and Requirements
Diploma or bachelor’s degree in accounting, Finance, or a related field.
2–5 years in an administrative or junior accounting role (Experience in mining/construction is a plus).
Strong data entry speed and accuracy.
Intermediate Microsoft Excel skills.
Experience with Oracle or other Accounting Software is highly preferred.
Highly organized, detail-oriented, and able to work under tight billing deadlines
Ability to communicate effectively in English (for corporate reporting) and local language skills are highly preferred for site coordination.
