Job Description
The Business Operations Associate supports the Product Development Science and Technology BDL group in the coordination and scheduling of maintenance activities, inventory support, and business operations under the management of the PDS&T Business Operations team. They will manage iterative and/or transformational changes through process improvements, initiatives and workstreams and act as primary point of contact for continuous process improvement activities for responsible process categories and related topics.
The core responsibilities of the Business Operations Associate are to schedule, plan, organize, and monitor performance of all tasks and materials and services required to ensure that maintenance and calibration of equipment meets all PDS&T and operations requirements and to support Business Operations for laboratory expansion, integration, continuous improvement, and subject matter expertise in associated lab operations.
They will coordinate the activities of technicians, vendors, support staff, Unity Managed/Lab Services, PPD FSPs, lab operations teams, or mechanics, along with other required resources and contractors, to ensure that all required scheduled and demand maintenance and calibration is performed and to coordinate activities of for cross functional support for freezer inventory management, shipping logistics, facilities requests, and buffer/media prep to support the laboratory and customer needs.
Some project assignments may be required for continuous laboratory improvements and support.
Responsibilities:
Schedules resources and personnel to ensure all guidelines and policies are adhered to and provide adequate customer service. Acts as the liaison between maintenance, vendors, support teams and customers with cross functional operations teams for BDL.
Executes purchasing requirements (Purchase Order Request, Purchase Orders, p-card, Ariba, and Service Entries) to support budgetary requirements, including processing, review, approval, and monitoring of purchase orders and maintenance requirements as related to maintenance services and inventory and business operations such as Blanket PO Inventory Purchasing, SLA/ SOW outsourced support, Capital/Expense planning and execution, Project Engineering support coordination.
Makes decisions about work priority levels, scheduling strategies, cost savings, safety, inventory and vendor performance (where applicable) with minimal supervision from management
Identifies and leads projects to improve operations productivity and work quality.
Supports other departmental efforts; specifically including, but not limited to IS, BTS, Project Engineering, Finance, Purchasing, Facilities, EHS, Maintenance Freezerpro, ShipIt, and Metrology.
Manage smartsheets to create, monitor, and complete work orders for requesting departments. Makes tactical decisions regarding response time and level of planning based on priority of requested work. Able to prioritize various jobs among different customers.
Qualifications
Bachelor’s Degree with 1+ years of relevant experience, or Associate’s Degree with minimum 3+ years of experience in a craft specific field such as mechanical/electromechanical/calibration/predictive maintenance/project management.
Skills: Good oral/written communication skills cGLP and Good Documentation Database Savvy- Use of Computerized Maintenance Management System Technical Experience (Engineering, Maintenance, Instrumentation Service, Calibration, and Metrology, etc.) an advantage
Ability to multitask effectively.
Possesses planning and organizational skills, one line schematics, etc. Customer service oriented- works well with internal and external customers.
