Job Description
1. Transfer Credit and Transcript Coordination. This position acts as the lead coordinator for the processing of transfer credits for matriculated students in DARS/uAchieve. The position will receive all requests from current students to have transfer work evaluated. The incumbent will work within DARS/uAchieve to update transfer courses in a student’s record. Evaluate transfer GPA between uAchieve and ISRS student record, and resolve any issues if there is discrepancy. The incumbent will act independently to communicate with advisors, department chairs, and college deans to discuss possible solutions to issues in a student’s record or regarding articulation. This position must audit transcripts for data conversion errors, course registration errors, transcript suspension and appeal notes. The incumbent collaborates with academic and non-academic departments to ensure the system reflects courses accurately on the academic transcript. This position serves as a university expert for academic and co-curricular transcript requests. The incumbent will coordinate directly with our internal and external transcript business partner to coordinate updates within the system. The position will assist as able so long as business process and funding allow with new/prospective/applicant student transcript and transfer credit processing.
2. Warrior Hub Enrollment Services. Intake, review, and process various customer inquiries and workflows across departments represented within Warrior Hub Enrollment Services area to completion including collaborating with other areas and escalating instances as appropriate. Make independent judgment decisions for students, faculty, staff, and campus based on their expertise in the areas of registration, course scheduling, events scheduling, appeals, basic Financial Aid counseling, enrollment verifications, student hiring paperwork. Resolve complicated records and registration, financial aid, and other enrollment service inquiry requiring professional judgment and decision-making. Collaborate with Warrior Hub staff members to accomplish shared workloads during peak times. (e.g., Registrations, Commencement, co-curricular transcript approvals, consortium credit evaluation, transfer transcripts etc.) Overseeing student processes which relate to Declaration of Major/Minor, Advisor updates, Grad App Tracking, etc.
3. Operational Record Curator . The person in this position is the operational curator of all hardcopy WSU student academic records and is responsible for their security, care, maintenance, coding, cataloging and indexing. This position controls access to the Student Record File room and ensures non-Registrar's Office personnel have an escort when using the file room. WSU has 400,000 individual student records and nearly 4 million documents dating back to 1859. Responsibility for these records is crucial not only for their operational purposes but for their historical importance, as well. This position coordinates and maintains the processes for WSU student legal name changes in the ISRS database. It also manages communications necessary for WSU's compliance with "Data Privacy" requests for students who do not wish their public directory information released to third parties.
4. Commencement. Work with faculty/staff from multiple areas across the University towards a successful commencement. This includes attending commencement meetings as necessary, and possibly facilitating training for students/staff. Support relevant staff for communication of details and changes to all stakeholders for a seamless event.
- Perform other duties as assigned. Ensure the smooth functioning of the department and maintain the reputation of the institution as the educational solution of choice. Employee will pursue professional development by attending appropriate training and related professional memberships and conferences.
Salary Range: $ 47,788-$78,458; Commensurate with qualifications and experience
Minimum Qualifications:
Bachelor's degree
Two (2) years of experience in professional guest or customer service-related relations, information management,project coordination, student development, or enrollment services.
Ability to create and maintain positive relationships with diverse constituents, including students,colleagues, parents, and external partners.
Strong oral, written interpersonal and electronic communication skills sufficient to prepare messages and materials for diverse audiences and clearly explain, discuss, and present.
Preferred Qualification
Master's degree
Knowledge of student development
Knowledge of degree auditing
Knowledge of financial aid process and procedures
Ability to process detailed student record, course and curriculum update workflows
A respect for students and the academic enterprise
