POSITION SUMMARY
Responsible for management of the front-desk operations as it relates to patient care and support of providers and clinic staff. Utilize channels of communication to facilitate dissemination of information between involved parties including providers, referral sources, patients and their family and clinic staff. Perform job functions in a manner that contributes to a positive, organized work environment and contributes to a positive patient care experience.
\ ESSENTIAL FUNCTIONS
- Answer incoming phone calls and disseminate information to appropriate person via phone, email or in person.
- Respond to voicemail messages related to caller inquiries and requests for information, established patient requests and all other matters not associated with referrals, intake and new patient appointments.
- Receive new patient paperwork ensure all forms are complete and contain signatures as needed, facilitate signing of necessary releases of information, scan and index documents in EMR, create patient chart.
- Schedule patients for re-evaluation, documenting actions and routing action item for insurance verification. Log appointment in database
- Schedule patient telehealth appointments in the Teams App and ensure links are sent to parties involved.
- Complete related intake documentation for all patients scheduled in the clinic, including mailing new patient paperwork, documenting actions and logging patient in database.
- Collect and post payment for copay/co-ins/deductible as indicated and generate report for all payments made by cash and check.
- Request clinical information from alternate providers if indicated according to policy.
- Fax/mail completed reports to designated providers/persons, document action and log in patient database
- Adhere to corporate policies and guidelines for Patient Rights, HIPAA, Regulatory and corporate compliance requirements.
- Maintain reliable attendance and punctuality
- Provides cross coverage for front office duties as needed.
- Other duties as assigned.
POSITION QUALIFICATIONS
Education: High School Graduate or General Education Degree (GED). Some college preferred.
Experience:
- One to two years medical office experience required
- Microsoft Office experience required
- EHR experience preferred (we use eClinicalWorks)
- Mental Health terminology knowledge preferred.
KNOWLEDGE, SKILLS & ABILITIES
Knowledge:
- Knowledge of insurance plan credentialing, plan coverage and referral requirements (includes Medicare, Medicaid, VA and commercial insurance plans)
- Knowledge of HIPAA guidelines and procedures
- Knowledge of mental health terminology and medical documentation principles
- Knowledge of organizational emergency procedures
Skills:
- Skill in operating basic office equipment (copier, scanner, fax, telephone)
- Skill in utilizing computerized systems to enter data efficiently and with accuracy
- Skill in customer service and professionalism
- Skill in performing patient registration, payment posting, financial counseling, and referrals
Abilities:
- Ability to read and understand insurance terminology, verify insurance coverage quotes, and the ability to understand and calculate reimbursement percentages.
- Ability to complete work with interruptions and time pressures, be accurate and detail-oriented in all work products and prioritize and meet deadlines.

Other Requirements
- Professional demeanor, appearance, and telephone manners are essential. Self-starter with strong analytical and organizational skills. Must have good oral and written communication skills. Assist with various administrative tasks to support department operations as directed; may also be assigned special projects. Additional duties as required by the Clinic Manager.
