Associate Director, Medical CRM Capabilities & Operations

Position Summary

The Associate Director, Medical CRM Capabilities & Operations is responsible for establishing, evolving, and operating enterprise‑grade CRM capabilities that enable Medical Affairs and Field Medical teams to work effectively while actively partnering with Commercial CRM and Enterprise Platform teams to drive shared capabilities, aligned roadmaps, and scalable solutions across Medical and Commercial use cases.

The role partners across Commercial/Medical, IT enabling teams, and vendors to ensure reliable access, scalable architecture, fit‑for‑purpose workflows, timely incident resolution, and well‑governed changes that protect data integrity, compliance, and patient privacy.

The role proactively identifies opportunities to improve the productivity and efficiency of the Business Systems & Operations team’s back‑office operations by streamlining processes and leveraging automation and select AI‑enabled capabilities where appropriate.

Capability Ownership & Road-Mapping:

  • Identify, evaluate, and roadmap Medical CRM capabilities, including AI‑enabled and automation use cases, with clear prioritization based on business value, compliance readiness, and opportunity for reuse or scale across Commercial CRM and enterprise platforms.

  • Own the end‑to‑end lifecycle of Medical CRM capabilities—from concept and business case through delivery, adoption, and post‑release value realization.

  • Define SLAs/OLAs with internal teams and vendors.

  • Translate Medical user needs into requirements & acceptance criteria.

  • Provide product feedback on workflow design and ensure validation during UAT

  • Provide Level 2 support for Medical CRM incidents and service requests, with accountability for root‑cause analysis, trend identification, and prevention through process improvement, automation, or platform enhancements.

Access and System Governance & Identity/Consent Flows:

  • Govern Veeva Link, Vault CRM and related access for Medical users.

  • Define approval pathways, user notifications, and channel-specific restrictions.

  • Partner with IT and Data Privacy on identity/consent dependencies

  • Conduct and document annual system audit trail and access rights review in accordance with system operations manual

Release Management & Quality:

  • Lead release readiness for Medical-impacting changes across Vault CRM.

  • Drive SIT/UAT for Medical use cases and coordinate sign-offs.

  • Establish proactive quality controls and automation.

  • Partner with Medical Operations to update periodic realignments, create new roles, manage territory changes and stakeholder (In Focus) loads.

Training Content & Change Adoption:

  • Validate Medical-focused LMS/SCORM learning assets.

  • Orchestrate communications, playbooks, and feedback loops.

  • Develop new training/quick reference content as required.

Operations, Incident Management & Vendor Partnership:

  • Run recurring CRM Ops forums.

  • Serve as Business Operations partner for IT and vendors partners for issue resolution.

  • Serve as Business Operations partner for IT system, platform, and hardware updates/changes impacting the Pharmaceutical Field Team

Reporting & Impact Measurement:

  • Consolidate ad-hoc analytics and mature standard reporting.

  • Measure adoption, data quality, and impact of Medical CRM features.

Qualifications

  • Bachelor’s degree (e.g. BA/BS/BE/BSIT, etc.) with 7+ years in Pharma Commercial Operations, Medical Operations, CRM Product Ownership, Business Systems or IT support of Pharma/Medical Operations roles.

  • Strong skills in release management, SIT/UAT, and change enablement.

  • Strong stakeholder management, communication, and vendor partnership.

  • Analytical orientation with experience in automation and KPI frameworks.

  • Experience with Veeva Vault CRM, Veeva Align and Veeva Link preferred.

  • Experience evaluating, delivering, or operating AI enabled or advanced analytics capabilities or similar automation and data-driven solutions within enterprise platforms (e.g., Medical and Commercial CRM, analytics, workflow automation), with ability to identify capabilities that can be shared, reused, or scaled across Medical and Commercial use cases preferred.

  • Working knowledge of responsible AI principles, data governance, and compliance considerations in regulated environments, including experience partnering with Commercial CRM, Data, or Enterprise Platform teams to ensure alignment and reuse where appropriate preferred.

Employees can expect to be paid a salary between $ 172,800.00 - $259,200.00. Additional compensation may include a bonus or commission (if relevant). Additional benefits include health care, vision, dental, retirement, PTO, sick leave, etc.

This salary range is merely an estimate and may vary based on an applicant’s location, market data/ranges, an applicant’s skills and prior relevant experience, certain degrees and certifications, and other relevant factors.
