Position Summary
We are seeking a highly organized, proactive, and detail-oriented Business Operations Administrator to provide multi-faceted administrative and operational support to Blue Ops at the West Palm Beach (FL) facility.
The Business Operations Coordinator will be responsible for managing priorities, supporting administrative processes, and facilitating effective communication between leadership, staff, and external vendors and suppliers.
This role focuses exclusively on operational execution, facility coordination, leadership support, and event logistics. The position requires a highly organized, proactive professional capable of managing competing priorities, maintaining confidentiality, and operating with minimal supervision in a fast-paced environment.
The ideal candidate anticipates needs, solves problems independently, and ensures leadership can focus on strategic priorities without operational distraction.
Essential Duties and Responsibilities
Manage day-to-day operations of Blue Ops headquarters in West Palm Beach.
Oversee office administration, facility upkeep, and vendor relationships to ensure efficient operations.
Coordinate logistics for company events, customer visits, and leadership meetings at HQ.
Assist with organizing and scheduling office meetings and appointments as needed.
Participate in developing and maintaining positive and strategic relationships across all levels of the organization.
Identify opportunities to improve administrative processes and implement solutions to increase efficiency.
Participate in the planning of company events including promoting activities that enhance operations.
Identify inefficiencies in administrative workflows and implement improvements.
Support cross-functional coordination between operations, sales, engineering, and leadership teams.
Maintain operational readiness and professional standards across the site.

Required Qualifications
Bachelor’s degree in Business Administration or equivalent professional experience.
3–5 years of experience in executive support, office management, or operations coordination.
Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
Previous experience supporting leadership in a high-growth, technology-driven company.
Strong verbal and written communication skills, with the ability to draft correspondence, prepare reports, and interact professionally with internal and external stakeholders.
Proactive problem-solving abilities, with a keen sense of initiative and the ability to anticipate needs.
Excellent communication skills with the ability to interface with executives, sales teams, and external vendors.
Ability to travel (up to 25%) to demo sites, trade shows, and company facilities.
Experience supporting defense, aerospace, or technology companies preferred.
Physical Requirements and Working Conditions
Must be able to walk, stand, and navigate large indoor and outdoor facilities for extended periods of time.
Ability to lift, carry, and move materials and equipment weighing up to 25 lbs on a regular basis.
Use of personal protective equipment (PPE) may be required in designated areas or when performing specific tasks, in accordance with safety protocols and company policy.
May be required to climb ladders, stoop, kneel, or crouch during inspections, maintenance walk-throughs, or emergency response situations.
Regular exposure to facility operations including noise, dust, temperature fluctuations, and industrial equipment.
Occasional off-hours or weekend work required for emergency facility responses or projects as needed
Requires frequent use of a computer and other standard office equipment for documentation, communication, and coordination tasks.
