Job Title: LOA - Accommodations Specialist

Job Summary : The LOA - Accommodations Specialist is responsible for managing the interactive accommodation process for associates, ensuring compliance with all applicable laws and company policies. This role coordinates with associates, leadership, and relevant stakeholders to facilitate workplace accommodations, maintain accurate documentation, and support a positive and inclusive work environment.

Principal Duties:

  • Serve as the primary contact for associates requesting workplace accommodations, guiding them through the interactive process.

  • Consult with and advise associates and leaders regarding eligibility, qualification requirements, and the process for requesting accommodations.

  • Coordinate and document all aspects of the accommodation process, including initial requests, supporting documentation, approvals, and implementation of accommodations.

  • Maintain regular communication with associates and managers regarding the status of accommodation requests, timelines, and any required follow-up.

  • Ensure compliance with ADA, ADAAA, and other applicable federal, state, and local regulations related to workplace accommodations.

  • Collaborate with HR, Legal, and Operations leaders to ensure consistent application of accommodation policies and procedures.

  • Track and report on accommodation requests and outcomes to support compliance and identify trends or areas for improvement.

  • Provide guidance to managers and associates on the accommodation process and related policies.

  • Escalate complex or high-risk cases to the appropriate HR or Legal partners as necessary.

  • Support the company’s inclusion efforts by advocating for fair and reasonable accommodations.

Essential Functions:

  • Working knowledge of ADA, ADAAA, and other relevant regulations pertaining to workplace accommodations.

  • Strong organizational skills with attention to detail and the ability to manage multiple cases simultaneously.

  • Excellent written and verbal communication skills tailored to a diverse audience.

  • High level of professionalism, confidentiality, and discretion.

  • Ability to function in a fast-paced, high-pressure work environment.

  • Strong capacity to balance associate advocacy with risk and compliance.

  • Self-motivated with independent critical thinking and problem-solving skills.

  • High volume customer service experience.

Basic Qualifications:

  • High School Diploma or Equivalent.

  • 3–5 years’ experience in accommodation management, absence management, or related HR function.

  • Comprehensive knowledge of HR laws, ADAAA, and applicable state/federal regulations.

  • Relevant certification (e.g., CLMS, CPDM) preferred.
