Programs and Partnerships Coordinator

The Programs and Partnerships Coordinator supports the execution of government-funded programs and strategic partnerships by ensuring accurate tracking, reporting, and coordination across departments. This role plays a critical function in maintaining compliance with funding requirements while supporting internal teams with timely, accurate data and insights. This role reports to the Chief of Staff.

Working cross-functionally, this position collaborates with accounting, membership, development, and program teams to collect, manage, and analyze both historical and real-time data needed for reporting, fundraising, partnership management, and advocacy efforts. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to anticipate needs and manage multiple priorities in a fast-paced environment.

Key Responsibilities

Program and Partnership Coordination

  • Support the implementation and coordination of government-funded programs and strategic partnerships
  • Track deliverables, timelines, and reporting requirements across multiple initiatives
  • Monitor progress and proactively flag upcoming deadlines, risks, or gaps

Data Management and Reporting

  • Collect, organize, and maintain program, membership, and partnership data across systems
  • Prepare recurring and ad hoc reports for leadership, funders, and partners
  • Support reconciliation of program data with financial records in coordination with accounting
  • Ensure accuracy, consistency, and integrity of data used across departments

Cross-Functional Collaboration

  • Serve as a central point of contact for internal data and reporting requests across programs, membership, development, and advocacy teams
  • Provide historical and current data to support grant proposals, sponsorship reporting, and partnership updates
  • Collaborate with team members to streamline data collection and reporting processes

Partnership and Development Support

  • Assist in tracking partnership deliverables, benefits, and engagement across sponsors and funders
  • Support preparation of materials for partner updates, reports, and presentations
  • Help ensure fulfillment of partnership commitments and visibility opportunities

Research and Program Support

  • Conduct targeted research to support program development, funding opportunities, and partnership strategy
  • Assist in preparing summaries, briefing materials, and internal documentation

Operations and Process Improvement

  • Assist in developing and maintaining systems to improve tracking, reporting, and workflow efficiency
  • Identify opportunities to improve internal processes related to program delivery and partnership management

Team Contribution

  • Support organization-wide initiatives, events, and program activities as needed
  • Provide flexible support during peak periods, including occasional evenings or weekends

As the Programs and Partnerships Coordinator builds expertise in the Chambers programs, funding structures, and cross-functional workflows, they will take on increasing ownership of reporting, partnership coordination, and program execution.

Qualifications

Education and Ex erience

Bachelors degree required

2-4 years of experience in program coordination, operations, partnerships, or data management (internship experience may be considered)

Strong organizational skills with exceptional attention to detail and accuracy

Ability to manage multiple projects and deadlines simultaneously

Technical and Analytical Skills

Proficiency in Microsoft Office, especially Excel (data tracking, reporting, and basic analysis)

Experience with CRM systems, databases, or financial tracking tools preferred (e.g., MC Trade, QuickBooks, or similar)

Ability to analyze and synthesize data into clear, actionable insights
