Trumbull County Veterans Service Front Office Receptionist in Warren, Ohio
SUMMARY: Under direction of the Veterans Service Commission, it serves as the first point of contact for visitors, clients and callers. This detail-oriented position is responsible for maintaining a professional and welcoming front office environment while managing phone communications, administrative tasks and general office support. The ideal candidate will demonstrate strong organizational skills, attention to detail and the ability to multitask in a busy office setting.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other related duties may be assigned.
- Answer, screen and direct incoming calls using a multiline phone system.
- Greet and assist visitors, clients and staff in a courteous and professional manner. Maintain and organize front office areas to ensure a welcoming environment.
- Take accurate messages and relay information promptly.
- Perform typing, data entry and general clerical tasks as assigned.
- Assist with scheduling, correspondence and documentation as needed.
- Provide administrative support to staff and management when necessary, including occasional evening and/or weekend special events hosted by the Commission.
Maintain confidentiality when handling sensitive information.

EDUCATION and/or EXPERIENCE:
High school diploma or General Education Diploma (GED) required, related office work experience preferred or office training required, or equivalent combination of education and experience. Must have basic computer skills, particularly with MS Office products. Candidate will be proficient in typing, typically 35 wpm or greater required. The Veterans Service Commission may utilize Veterans Preference hiring practices to fill this position.

LANGUAGE SKILLS:
Ability to draft business correspondence. Strong ability to read, write and speak English and respond to questions from individuals or small groups of managers, clients, callers, and the general public. Ability to follow complex written instructions.

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to multi-task and prioritize tasks such as scheduling, answer the phone, greeting visitors, etc. in a fast-paced office environment while maintaining a courteous, professional demeanor.
