Administrative Assistant, Full Time
Reports To: Director, Family & Children First Council
Primary Responsibilities: This position provides support to the Director with a variety of administrative
responsibilities including;
- Provide administrative and office support for Council and/or the Director to facilitate the efficient operation
of the Council.
- Answer and direct incoming calls. Make referrals and provide resources as appropriate. Greet visitors when
they arrive.
- Ensure proper information is entered into the state data system, OASCIS, in a timely manner. Ensure expenses
are submitted by the 10th of each month and reports are generated.
- Provide fiscal support to Council, including creating the annual budget, working with the Director and with
oversight from the TCMHRB Chief Financial Officer and Accountant.
- Ensure that the agenda items are submitted for the Family Wraparound Oversight Meeting in a timely manner.
Communicate with facilitators/care coordinators/service coordinators as needed to ensure compliance.
- Create and maintain spreadsheets for programs including recording Wraparound, Respite and Multi System
Youth (MSY) invoices and income. Oversee expenditures to gauge amount of funding expended and available.
- Record and transcribe minutes from meetings including but not limited to Executive Board, Council, Early
Childhood Collaborating Committee, ECHO Collaborative, SAAVE Coalition, Family Wraparound Oversight
Committee and others as requested.
- Ensure Council's social media presence on Facebook and the website are current and accurate with input and
oversight from the Director. Monitor media and maintain records of relevant newspaper articles.
- Oversee the annual support from Council members including creating and sending invoices and maintaining
a spreadsheet with payments as received. Alert the Director when member support is delinquent. Add new
members when approved by Council.
- Assist the Director in preparing and submitting reports for funders including Family Centered Support Services
(FCSS), Strong Families, Safe Communities, MSY and others as requested by the Director.
Maintain the Council filing system.
Communicate with MHRB accounting staff regarding deposits, vendor set-up and updates, and information
needed to process purchase orders as necessary.
Reserve space with MHRB and TMHA for various meetings and events and ensure proper set-up and supplies.
Assist the Director with preparation for various events and initiatives including preparing binders for the
quarterly Countywide Orientation.
Assist the Director in preparing meeting information for Executive Board members.
Update and maintain official binder and electronic folder with Council and Board meeting minutes, reports,
and other relevant information.
Represent Family & Children First Council at public events, including but not limited to, family respite events, health fairs and other events to promote community awareness.
Perform other administrative tasks as may be required.
Essential Functions of the Position
Ability to operate efficiently and professionally a multi-line telephone system and standard office equipment.
Manual dexterity as it relates to writing, operation of computer and various items of office equipment such as printers and copiers.
Ability to communicate verbally, and in written form, in a professional and understandable manner.
