ASFC Federal AFSS is seeking a Facilities Management Project Support Specialist to support a NASA contract in Wallops Island, VA.
Responsibilities:
Facilities Management Project Support Specialist
Maintain and update electronic files, records, and data pertaining to the design, construction, operations and maintenance and repair of facilities
Track and report status of project requirements
Prepare standard presentation packages for NASA Executives as well as specialty presentations to include gathering input and formatting for consistency
Prepare agendas, attend meetings as requested, take meeting notes and actions, and transcribe / summarize notes from meetings
Provide technical writing and editing support
Coordinate and prepare facilities maintenance work orders
Develop and document internal workflows for a number of services provided by the division. This includes work instructions, cheat sheets, best practices, etc.
Manage visitor and contractor badging and access control. Process Foreign National and Lawful Permanent Resident badges requests
Account for and prepare necessary documentation for total project travel (plan vs. actual)
Help coordinate, plan, and execute office moves to include phone moves, IT coordination, list updates, key requests, door sign requests, and excess requests
Maintain office and IT hardware/software supply inventories
Prepare, process, and coordinate approval for purchase request and other documents
Coordinate and prepare shipping documents including packages for shipping with express mail purposes
Prepare and route official NASA correspondence documents as per NASA standards and directives
Records Management (maintain records for required documentation) and Property Custodian (assist in inventory/tracking of branch property).
Coordinate photographic documentation/imagery services for project hardware
Support NASA Headquarters office of Facilities and Real Estate Division (FRED) initiated training classes held at Greenbelt or Wallops
Coordinate and prepare shipping documents including packages with express mail purposes
Individual will proactively interface with all levels of management and other program team members to ensure the Directorate has all levels of administrative support covered
May lead others in complex assignments
Coordinate meetings/appointments/conferences and arrange for appropriate equipment (Microsoft TEAMS)
Update and maintain content on internal Division website
Perform additional duties required to support all aspects of the Facilities Management Division
Requirements:
Provide full-time on-site project support to the Facilities Management office at Wallops Flight Facility.
Responsible for communicating project status and issues to customers and leadership as they arise. May be responsible for taking direction from leadership and distributing information to team members, stakeholders, and leadership quickly and efficiently.
Ability to take direction from leadership, distribute functions across a team, and keep track of structuring various tasks, employees, and policies.
Outstanding customer service skills with the ability to anticipate needs and create efficient process flows.
Must have proficient oral, written, and interpersonal communication skills. Able to work with executive level customers and leadership.
Strong working knowledge of Microsoft Word, Excel PowerPoint, and Outlook. (Microsoft Project experience preferred).
Must have the ability to balance multiple priorities and produce quality work efficiently.
Ability to work on site during normal business hours.
Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job. Some travel may be required.
Education and Experience:
- Bachelor degree and 0-2 years of professional experience or 4-6 years of experience in lieu of degree.
