ICONMA, LLC Workfront System & Workflow Architect in United States
Our Client, a Clinical company, is looking for a Workfront System and Workflow Architect for their Dublin, OH location. Responsibilities:
Audit the current Workfront system used by eCommerce and Digital Marketing Operations teams
Redesign Workfront architecture (portfolios, programs, teams, templates, tasks, routing) tailored to the eCommerce campaign lifecycle
Build new templates reflecting real workflows
Create a modernized intake form with logic that ensures complete, actionable submissions from internal clients and requestors
Configure automated workflows, routing and approvals to reduce manual work and errors
Embed SLA-driven timelines, dependencies and cross-team handoffs
Workflow Design & Process Optimization
Partner with Client Services, Production, Design, Analytics, Content, Merchandising and the Segmentation team to document current workflows
Create standardized “Ways of Working” for eCommerce projects
Define required tasks, checkpoints, QA steps and approvals for accuracy and speed
Establish naming conventions and project structures appropriate for campaign volume
Remove redundancies and build efficient workflows that reflect real operational needs
Document all processes in clear SOPs
Workfront Enhancements & Feature Adoption
Assess unused or underutilized Workfront capabilities (e.g., Workfront Fusion, automated proofs, scenario planning, enhanced dashboards, custom statuses, integrations)
Recommend enhancements based on value, efficiency and team needs
Implement enhancements where possible within the contract scope
Provide cost/impact estimates for features requiring upgrade or budget approval
Serve as strategic advisor for future Workfront maturity
Reporting, Dashboards & Visibility
Build dashboards tailored to eCommerce digital operations (capacity, timelines, project health)
Create leadership-level views showing workload, SLAs, late tasks, capacity gaps
Ensure reporting is accurate across teams and supports decision-making
Improve visibility into campaign readiness, production schedules and traffic peaks
Training, Documentation & Rollout
Develop training materials specific to the eCommerce Workfront instance
Train internal teams
Lead change management and rollout communication
Document governance standards, version control and update logs
Governance, Audits & Continuous Optimization
Create a governance model for ongoing enhancements and requests
Establish quarterly audits for templates, intake forms, dashboards and timeline logic
Ensure system integrity and consistency
Provide recommendations for long-term resource needs post-contract
Requirements:
3–7+ years Workfront administration or workflow design experience
Experience in eCommerce, digital marketing, creative production or marketing operations
Demonstrated expertise building Workfront templates, intake forms, routing logic, approvals and dashboards
Familiarity with Workfront enhancements and integrations
Strong documentation and training experience
Ability to translate business needs into scalable operational workflows
Excellent cross-functional communication skills
Process improvement mindset; experience with Lean/Six Sigma is a plus
