Job Description
Important Immigration information:

The Administrative Associate will provide direct administrative and scheduling support to the Vice President for University Advancement. This role ensures the efficient coordination of meetings, events, and travel, while maintaining a high level of professionalism and discretion. This role will serve as a key point of contact for internal and external stakeholders and play an important role in advancing the priorities of the Division of University Advancement. This is a temporary position with an anticipated duration of 3–4 months.
The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.
Please Note: This is a temporary position and will be available for 3-4 months.
Responsibilities:
Manage and maintain the Vice President’s daily and long-term calendar, including scheduling meetings, appointments, and travel arrangements.
Coordinate logistics for internal and external meetings, ensuring proper preparation of agendas, materials, and follow-up.
Serve as the primary liaison for scheduling requests, balancing competing priorities with sound judgment.
Arrange travel, accommodations, and itineraries in alignment with the VP’s responsibilities and institutional priorities.
Monitor deadlines and commitments to ensure timely responses and task completion.
Anticipate scheduling conflicts and resolve proactively.
- Maintain confidentiality and handle sensitive information with discretion.
Provide general administrative support as needed, including drafting correspondence and coordinating with other offices.
Required Education and Experience;
High school diploma or equivalent combination of education and experience.
Two years of related experience.
Required Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others.
Effective verbal and written communication skills.
Preferred Qualifications:
Bachelor’s degree preferred; relevant experience may substitute.
At least 2–3 years of administrative or scheduling experience, preferably supporting senior leadership.
Strong interpersonal and organizational skills.
Ability to work with sensitive information and maintain confidentiality.
Excellent organizational, time management, and problem-solving skills.
Ability to work independently and handle multiple priorities in a fast-paced environment.
Proficiency with Microsoft Office Suite, Outlook, and scheduling software.
High level of professionalism and discretion.
