We are seeking a proactive and detail-oriented TA (Talent Acquisition) Intern to join our HR COE team in Shanghai or Tokyo. This role will provide you with hands-on experience in end-to-end recruitment processes, supporting the team in attracting, screening, and engaging top talent for the organization. You will work closely with both HR team and cross-functional colleagues locally & regionally, gaining exposure to corporate recruitment strategies and practices in a dynamic work environment.
Key Responsibilities
• Recruitment Support: Post job advertisements on selective portals. Assist in sourcing candidates through job portals (e.g., Zhilian, 51job, LinkedIn, Mynavi), social media platforms, and employee referrals. Screen resumes and applications to shortlist candidates who match job requirements, including coordinating with the Japanese HR team and local business departments to align recruitment needs and candidate standards. Support in drafting offer letters and breakdowns, and assist in communicating recruitment progress with Japanese counterparts and external consultants.
• Interview Coordination: Schedule interviews between candidates and interviewers across the organization, including coordinating time slots with Japanese interviewers from the HR team and business departments (considering time zone differences if applicable). Send calendar invites, reminders, and follow-up communications to all parties, and maintain accurate records of interview feedback and candidate status in the ATS (Applicant Tracking System). Assist in relaying interview feedback to internal teams and external consultants timely.
• Candidate Engagement: Communicate with candidates throughout the recruitment process to provide updates and answer basic queries, ensuring a positive candidate experience. In addition, coordinate with the Japanese HR team and business departments to address candidate-related questions from Japanese counterparts, and assist in maintaining effective communication with Japanese-speaking candidates or external consultants involved in the recruitment process.
• Project-Based Initiatives: Assist in the planning, execution and post-event follow-up of recruitment events (e.g., campus drives, career fairs, trainings) when applicable.
• Administrative Affairs: Prepare referral mailers, consolidate talent pipeline tracking, help with Obeya updates and dashboards, and maintain organized and standardized documentation of all recruitment activities. Assist in synchronizing recruitment data, reports and related documents. Support ad-hoc tasks as assigned, including those related to coordination with Japanese teams.
Qualifications
• Currently pursuing a Bachelor’s or Master’s degree in Japanese Language, Human Resources, Psychology, or Engineering related field. Final-year students or those who can commit to 3 months internships are preferred.
• Excellent verbal and written communication skills in both English and Japanese (mandatory)
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) – ability to manage spreadsheets and draft professional communications.
• Proactive, organized, and detail-oriented with strong time management skills – ability to handle multiple tasks and meet deadlines.
• Positive attitude, eager to learn, and comfortable working in a fast-paced team environment.
• Ability to leverage AI tools such as ChatGPT, Copilot, Power Automate or other analytics/automation tools are preferred.
