Reliance Medical Transport Human Resources Assistant- Part Time in Virginia Beach, Virginia
Job Summary
The Human Resources Assistant performs a wide range of clerical, administrative, and operational support functions within the Human Resources Department. This role supports recruiting, onboarding, employee record maintenance, compliance tracking, and general HR administrative operations.
The HR Assistant helps ensure the department remains organized and compliant while providing support to employees and leadership. This position reports directly to the HR Manager and may serve as a backup resource for certain HR functions when needed.
Essential Duties and Responsibilities
Employee Records & HR Administration
Maintain accurate employee records including digital, electronic, and paper files.
File and organize employee documentation in compliance with company policies and regulatory requirements.
Ensure personnel files are complete, confidential, and properly maintained.
Assist with maintaining HR databases and HRIS systems.
Perform routine clerical duties including scanning, copying, filing, and document preparation.
Recruiting & Hiring Support
Assist with recruiting efforts including posting job openings and screening applicants.
Schedule interviews between candidates and hiring managers.
Assist in coordinating hiring events and recruitment initiatives.
Draft offer letters and employment documents for approval by the HR Manager.
Conduct reference checks when required.
Onboarding & Orientation
Work with new hires to collect required employment documentation including tax forms and company paperwork.
Assist with employee onboarding and orientation processes.
Ensure new employees complete required onboarding paperwork and compliance forms.
Coordinate orientation schedules and onboarding logistics.
Training & Compliance
Track employee certifications, licenses, and required training.
Coordinate mandatory training and ensure certifications remain current.
Assist with compliance tracking related to EMS, safety, and regulatory requirements.
Maintain documentation for training completion and certification renewals.
Uniforms & Inventory Management
Issue employee uniforms and equipment in accordance with company policy.
Maintain uniform inventory and coordinate ordering when supplies are low.
Track uniform distribution and returns when employees separate from employment.
Maintain logs of issued equipment or supplies.
Employee Support
Serve as a point of contact for basic HR-related questions from employees.
Assist employees with completing forms or accessing HR information.
Maintain confidentiality when handling sensitive employee information.
HR Operations Support
Draft termination documentation and separation paperwork for review by the HR Manager.
Assist with employee status changes and updates.
Support HR projects and initiatives as assigned.
Assist in preparing reports and maintaining HR records for audits.
Backup & Department Support
Serve as backup support for HR administrative functions when needed.
Assist with coverage of HR duties during staff absences.
Support HR Manager with departmental operations and administrative tasks.
Compliance & Confidentiality
Ensure company policies and procedures are followed.
Maintain strict confidentiality regarding employee records and HR matters.
Assist with ensuring HR practices align with federal, state, and company regulations.
Additional Duties
- Perform other duties as assigned by the HR Manager or leadership team.
Qualifications
Must be at least 18 years of age
High School Diploma or GED required
Previous administrative or HR experience preferred
Ability to pass a background check and drug screening
