The Aquatics Coordinator supports the daily operation of Villanova's natatoriums across all Villanova campuses, including Cabrini, by coordinating pool schedules, lifeguard staffing, safety systems, aquatic programming, and facility readiness. Working under the direction of the Director of Fitness & Recreation -- Aquatics, Operations & Risk Management, this role ensures that aquatic facilities and programs operate safely, efficiently, and in compliance with University policies and regulatory standards.

This position focuses on execution and coordination of aquatic operations, lifeguard workforce management, program delivery, and stewardship of resources that enable recreation, club sports, rentals, and varsity aquatic events to function smoothly.

Duties and Responsibilities:

Aquatics Operations

  • Coordinate daily pool schedules for recreation swim, club sports, rentals, lessons, and aquatic programming across Villanova and Cabrini.
  • Work with professional staff, lifeguards, Facilities, Custodial Services, and third-party vendors to support natatorium readiness.
  • Assist with game-day aquatic operations for varsity Swimming & Diving and Water Polo.
  • Coordinate operational setups, equipment checks, and facility readiness tasks.
  • Submit and track work orders and service requests.
  • Maintain pool equipment, rescue gear, and chemical supplies.
  • Support facility improvement and renovation projects involving natatoriums.
  • Support aquatics-related camps and rentals in coordination with the Dixon Center.

Lifeguard & Workforce Coordination

  • Coordinate hiring logistics, onboarding, scheduling, and coverage for approximately 40 student and part-time lifeguards.
  • Maintain records for certifications, training, schedules, and employment status.
  • Submit personnel and payroll documentation in accordance with University processes.
  • Provide day-to-day supervision, guidance, and feedback.
  • Support ongoing staff training and emergency preparedness.

Risk & Compliance Support

  • Implement aquatic safety plans, emergency action plans, and compliance protocols.
  • Track and verify lifeguard certifications and renewals.
  • Perform and document monthly AED tests.
  • Support inspections, audits, and regulatory reviews led by the Director.
  • Maintain safety logs and incid nt documentation.
  • Stay current on aquatics best practices through professional development.

Aquatics Programming & Participation

  • Coordinate scheduling and logistics for aquatic programs, lessons, rentals, and special events.
  • Track daily open-swim participation and utilization.
  • Support outreach and engagement for aquatic programs.

Fiscal & Resource Stewardship

  • Monitor lifeguard staffing levels and natatorium operating costs.
  • Support accurate payroll, purchasing, and inventory tracking.
  • Assist with revenue-generating aquatic programs and rentals.
  • Steward equipment, supplies, and chemicals to promote safe and efficient operations.

Other

  • Perform other duties and assist with projects as assigned.

Minimum Qualifications:

Formal Education

• Bachelor's degree in Recreation Management, Sports Management, Physical Education, or a related field, or an equivalent combination of education and relevant experience.

• First Aid, CPR, and AED certification (must be obtained within a specified period after hire).

• PA Pesticide Applicator and Category 24 License (must be obtained within a specified period after hire).

• Lifeguarding certification. (must either be active or previously held and then reactivated within a specified period after hire).

Work Experience

• 0--2 years of experience in aquatics, pool operations, athletics, campus recreation, or a related student-centered environment.

• Relevant student employment, internships, or graduate assistantships in aquatics, recreation, or athletics may be counted toward experience.

• Experience working in a customer-facing or student-facing environment.

• Experience working as a lifeguard.
