National Winter Actvity Center WINTER: Program Administrator First Tracks 4U and Race Programs in Vernon, New Jersey

Winter4Kids is seeking a highly organized, detail-oriented Part-Time Program Administrator to support weekend operations for our First Tracks 4U and Race Programs. This role plays a critical part in ensuring smooth program execution, clear communication, and accurate administrative support for athletes, families, and coaches.

Qualifications:

  • Strong organizational and administrative skills with excellent attention to detail

  • Clear, professional communication skills

  • Comfortable working with families, coaches, and youth participants

  • Ability to manage multiple priorities in a fast-paced environment

  • Proficiency with Google Workspace and basic spreadsheets

  • Experience in youth programs, sports administration, or nonprofit operations preferred

  • Familiarity with ski or race programs is a plus, but not required

    Responsibilities:

    Weekend Program Administration

  • Provide on-site administrative support during Saturday and Sunday programs

  • Manage daily rosters, check-ins, and attendance

  • Support program flow and coordination between coaches, families, and operations staff

    Family & Coach Communication

  • Serve as a primary weekend point of contact for families

  • Support coach communications including rosters, schedules, and updates

  • Respond to questions and resolve issues in a professional, timely manner

    Registration & Records

  • Assist with registrations, waitlists, and participant records

  • Maintain accurate digital records and shared documents

  • Support updates to program schedules and logistics as needed

    Race Program Support

  • Assist with race registrations, athlete lists, and event logistics

  • Support race-day administrative needs including check-ins and communication

  • Help maintain accurate race and training records

    Billing & Reporting Support

  • Assist with weekend-related billing questions and payment tracking

  • Support enrollment, attendance, and participation reporting

    Work Environment & Physical Demands:

  • Some physical requirements of this position include standing, running, some bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity to manipulate equipment and demonstrate sports activities. Requires a normal range of hearing and eyesight to record, prepare, and communicate appropriate camper activities/program.

    Schedule: Saturdays & Sundays through March 31st

    Hourly Pay Rate: Starting at $18.00
