MAINSTREET TAX & ACCOUNTING Administrative Assistant in VERNAL, Utah
POSITION SUMMARY:
This position combines front-line reception and back-office support for the smooth operations of the organization. The receptionist provides general administrative support to the staff and assists in special projects as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include those set out below and other duties that may be assigned to meet business needs.
1. Answer phone and directs callers to the appropriate staff. Screening calls and taking detailed messages . Adept at using all features of the telephone system and voice mail.
2. Greets and directs visitors in a professional, friendly and hospitable manner.
3. Provides callers with information such as company address, directions, fax numbers, website and related information
4. Provides administrative support
5. Sorting and distribution of delivered mail on a daily basis.
6. Receive all incoming shipments and deliveries and notifies recipients accordingly.
7. Prepares and processes outgoing mail
8. Ensures postage system is operational and keeps supervisor informed of postage needs.
9. Maintenance of appointment calendars for accountants/schedule appointments.
10. Make reminder appointment calls.
11. Keep copier stocked with paper and order paper as needed.
12. General filing.
13. Update client information/Tax Organizers
14. Enter tax invoices.
15. Assemble and collate printed tax returns for distribution to clients.
16. Scan and copy client documents.
17. Call clients when returns are completed.
18. Present completed tax returns to clients.
19. Collect client payments, provide receipts, and record each transaction.
QUALIFICATIONS
Essential
1. Knowledge of gmail and MS Office Suite (Word, Excel, Outlook and PowerPoint) and Internet Explorer, Firefox, Chrome
2. Excellent written and verbal communication skills. Possesses exceptional interpersonal communication skills via phone, email and in person
3. Ability to work independently on assigned tasks as well as to accept direction on given assignments
4. Ability to multitask
5. Firm sense of responsibility
6. Positive, bright and professional attitude
7. High School Diploma or equivalent
8. Typing skills (minimum 50 wpm)
9. Numeric keypad skills
10. Basic understanding of taxation and accounting concepts
11. Able to pass drug screen and background check
Preferred
1. Basic knowledge of QuickBooks and Drake Tax software
2. Post High School related education
