Overview
ABM Industries is seeking a highly organized, personable, and professional Receptionist to join our team. The Receptionist will be the first point of contact for visitors and will provide administrative support across the organization. This role requires welcoming visitors at the front desk, managing appointments, handling mail distribution, processing checks, responding to employee inquiries, and coordinating events. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.

Hours: Monday to Friday 7:30am - 4:30pm
Compensation: $21-24 per hour

Responsibilities
Welcome and greet visitors at the front desk in a warm and professional manner
Manage appointment setting and maintain calendars for staff and visitors
Receive, sort, and distribute daily mail and deliveries throughout the organization
Process checks and handle basic financial documentation
Handle employee inquiries and provide accurate information in-person, via phone, and email
Set up and coordinate office events, meetings, and activities
Answer, screen, and forward incoming phone calls
Maintain a tidy and presentable reception area
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Perform clerical duties such as filing, photocopying, and faxing
Coordinate with facility management for any repairs or maintenance issues
Order office supplies and maintain inventory of stock
Qualifications
Spanish speaking required
Experience with Microsoft Office Suite required
High school diploma or equivalent; additional certification in Office Management is a plus
Proven work experience as a Receptionist, Front Office Representative, or similar role
Hands-on experience with office equipment (e.g., fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills in both English and Spanish
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
Working Conditions
This position requires the ability to sit for extended periods
Ability to work in a busy office environment with frequent interruptions
Occasional lifting of office supplies and materials
