Actalent Project Coordinator in Tukwila, Washington

Our client in the Tukwila, WA location is currently hiring for a Project Coordinator / Construction Administrator. This position is an onsite opportunity supporting project teams, ownership, and office leadership with construction administration, accounts support, permit coordination, and documentation management. This is a contract‑to‑hire opportunity with strong potential for growth into expanded project management responsibilities.

Pay – $25.00 – $30.00 per hour (depending on experience)

Location – Tukwila, WA (Onsite – Main Office)

Schedule – Standard Monday – Friday (40 hours per week)

Responsibilities

  • Process accounts payable including vendor invoices, purchase orders, subcontractor invoices, and job cost coding

  • Support accounts receivable tasks such as billing assistance, lien release tracking, and vendor or customer follow‑ups

  • Assist with weekly or biweekly payroll support, including timesheet collection, verification of hours, job coding, and coordination with payroll and accounting teams

  • Track and maintain compliance documentation including Certificates of Insurance (COIs), W‑9s, and vendor or subcontractor onboarding materials

  • Coordinate with project teams to ensure accurate cost coding, approvals, and timely processing of financial documents

  • Support project teams with permit application tracking, renewals, and documentation requirements

  • Coordinate with municipalities and jurisdictions regarding submittal requirements, status updates, and inspection scheduling support as needed

  • Maintain organized permit logs and ensure documents are accessible to internal teams

  • Assist with construction documentation processes including RFIs, submittals, meeting minutes, and daily logs as applicable

  • Perform document control and file management using systems such as SharePoint, Procore, Aconex, Box, or similar platforms

  • Create and maintain consistent project folder structures and naming conventions

  • Support project closeout documentation including O&M manuals, warranties, as‑builts, and punchlist tracking support

  • Prepare internal and external reports, tracking logs, and document packages for clients and stakeholders

Qualification Requirements

  • 2+ years of experience in an administrative role supporting construction, engineering, or field operations

  • Experience with accounts payable and accounts receivable processes

  • Comfort working with financial data and job cost information

  • Strong organizational skills and attention to detail with the ability to manage multiple priorities

  • Familiarity with construction documentation workflows such as RFIs, submittals, and project closeout

  • Proficiency with document control systems and project management platforms

  • Strong written and verbal communication skills

Disqualifiers

  • No prior experience supporting construction or engineering environments

  • No experience with accounts payable or accounts receivable processes

  • Limited ability to manage documentation, tracking, and administrative coordination

  • Inability to work onsite in the Tukwila office

Job Type & Location

This is a Contract to Hire position based out of Tukwila, WA.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
