HAMILL MANUFACTURING CO. Receptionist in Trafford, Pennsylvania

Hamill Manufacturing Company has a full-time Receptionist position now available.

Summary:

Acts as receptionist while ensuring visitor security and performing various front desk responsibilities. Often first encounter for our visitors and creates a welcoming atmosphere.

Essential Duties and Responsibilities:

  • Monitors visitor access.  Maintains the visitor log through the "My SignIn" app. Visitor badges are automatically printed and then placed in sleeve.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.  Maintains "Welcome" board in lobby.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department including the Model Shop.  Monitors employees' schedules to avoid paging those who are absent.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.  Screens calls for CEO/President and managers.
  • Answers questions about the organization and provides callers with address, directions, and other information.
  • Receives, sorts, and routes mail.
  • Receives outgoing mail and adds postage and prepares for delivery: regular mail, classified security mail, certified mail, return receipt mail and customs mail. 
  • Sends, retrieves and routes faxes.
  • Maintains a visitor log on the computer that includes information pertaining to visitor security clearance, identification of foreign interest and foreign national visitors, and dated and signed non-disclosure documents. 
  • Immediately directs faxed or mailed security clearances to the security officer.
  • Performs other clerical duties as needed for HR and other departments, such as filing, copying, and collating.
  • Maintains Gage LogMaintains the company's electronic monitors through Digital Signage software.   Creates daily visitor slides and adds other daily slides as required.  Edits slides using PowerPoint.
  • Responsible for mailing checks for Accounting Department.
  • Assist the Human Resources Department with distributions on occasion.
  • Performs other duties as assigned.

Education/Experience: High school diploma or equivalent; one to three months related experience and/or training; or equivalent combination of education and experience.

Language Ability: Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, and distance.

Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. A ility to deal with problems involving a few concrete variables in standardized situations.

Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Office including PowerPoint, Digital Signage, Internet, and email.  Employee must also operate the phone system and the postage meter.

Certificates and Licenses: No certifications needed.
