THE POSITION:

Senior Executive Assistant & Board Governance Lead – Office of the CEO

Report to: President and CEO

Permanent FTE (37.5 hrs/week)

Holland Bloorview Kids Rehabilitation Hospital Foundation raises funds and engagement for Canada’s Hospital for Kids with disabilities, and we are looking for a compassionate, multi-tasking team member who is organized, proactive, meticulous and digitally-savvy to become our next Senior Executive Assistant & Board Governance Lead, reporting to the Foundation President and CEO. Key Responsibilities

  • Act as Foundation expert on corporate governance matters including updating corporate records and proactively monitoring and flagging changes and trends in legislation and governance.

  • Support Foundation Board of Directors and all Foundation Board Committees with materials development, Chair briefing, minutes, onboarding and Board portal management.

  • Manage complex calendar of meetings for CEO, Board of Directors and Board Committees.

  • Event manager (room booking, catering, travel logistics etc.) for smooth execution of all in-person and virtual Board Meetings, Board Retreat, Board Committee Meetings and other CEO-hosted meetings.

  • Partner with CEO to support priority setting of their leadership of the Foundation. This includes management of administration, office organization systems, expense reconciliation, research, briefings, presentation support and external correspondence.

  • Act as Relationship Manager for Foundation Board EAs, Hospital Board EAs, Hospital Leadership Team EAs and significant donors EAs providing excellent stewardship, engagement and referral to fundraising team as appropriate.

  • Back up for Sr. Foundation Administrator as required.

Job Requirements

  • Bachelor’s degree preferred with 5+ years’ experience supporting C-level executives, preferably in a charity, Foundation, hospital, public or broader public sector organization.

  • Proven ability to use judgment to represent the President & CEO with a high degree of initiative, handle confidential information with discretion and demonstrate the highest level of customer service.

  • Demonstrated experience working with a Board of Directors.

  • Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with unwavering attention to detail and speed in line with that of the fast-paced environment of the Office of the CEO

  • Very strong interpersonal skills and high EQ with the ability to build authentic relationships with staff, board members, hospital partners, external partners, EAs and donors.

  • Expert level written and verbal communication skills with a keen eye for proofreading and the confidence to recommended edits.

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.

  • Highly resourceful, innovative, compassionate, calm, collaborative, team-player, with the ability to also be effective independently.

  • Advanced knowledge of Microsoft Office Suite (e.g. Word, PowerPoint, Excel, Outlook) and Microsoft Teams. Experience with board portal software (Diligent BoardEffect) is an asset.

  • Understanding of issues related to disability and social justice, and experience working with children and/or vulnerable populations an asset.
