Position Description
Reporting to the Sr Clinical Manager, Dentistry Department, the Account Program Coordinator- Dentistry and Ministry of Health Cleft Lip and Palate (MOH CLP) programs. Will act as subject matter experts and be responsible for enhancing the efficiencies and operations of the accounting team and assisting the manager to ensure department performance is met. The Program Coordinator roles will apply professional experience, and customer service skills to successfully resolve escalations and support proactive continuous improvement and transformation.
Acting as the Dentistry Accounting Team's subject matter experts, they will be the lead on ongoing projects and process improvement initiatives such as with the accounting software upgrades and workflow improvements, Epic related updates and upgrades, changes to accounting processes as regulatory requirements change, updating insurance processes. They will also participate in all documentation and policy creation and updates.
Here's what you'll get to do
Guidance, Influence and Leadership
Develop, train and coach the Dentistry accounting team to ensure compliance to dental accounting best practices are being followed.
Partner with management to promote teamwork and collaboration by sharing best practices.
Partner with Finance partners to ensure processes are being followed and raise any issues in a timely manner
Act as the main contact for external and internal stakeholders on all accounting related matters
Identify opportunities for improvement in efficiency and effectiveness of the accounting process and support the team through change management, learning and adapting new process.
Work closely with the Manager with the development of policies and procedures to meet a strong control environment.
Promote a positive working climate to foster the development of team spirit and high morale.
Assist team with preparing and maintaining current standard operating procedures.
Service Delivery and Operations
Support the Dentistry accounting team on all activities of Dental Accounting and MOH CLP ensuring the timely processing of all invoices, cheques and insurance EFTs in accordance with policies and processes
Maintain SOPs and work instructions.
Provide excellent customer service to all internal stakeholders, vendors, and colleagues.
Resolve and support the team with any escalated inquiries in a timely manner.
Process and prepare payment of time sensitive and confidential invoices.
Process EFT, insurance payments and prepare cheque requisitions for providers in department as set out in their payment plans, billing and contracts
Process monthly MOH payments, for providers in department as set out in their payment plans, billing and contracts
Deliver on other assignments as required.
Collaborate closely with other Department team leads on projects and other tasks as required.
Process Improvement
Acting as the subject matter expert, you will be the lead on ongoing projects and process improvement initiatives such as:

updating insurance processes
participate in all documentation and policy creation and updates
Here's what you'll need
Diploma/degree in medical administration or dental assisting or dental hygiene
Minimum 5 years progressive dentistry related accounting experience
Strong working knowledge of accounting principles
Organized with demonstrated ability to prioritize effectively and meet deadlines in a fast-paced and changing environment
Excellent communication, interpersonal, and customer service skills
Self-starter and strong team player to learn from your leader and others and teach your peers and others.
Ability to work independently with minimal supervision / direction
Proficiency with MS Office applications with a focus on Excel, preferred
Experience in report and data analysis, preferred.
Experience in a health care setting required
Experience with aXium and Epic preferred
