Overview
The operations Coordinator plays a critical role in supporting daily business operations and the executive leadership team. This position is responsible for coordinating travel arrangements, providing high-level administrative support, and ensuring clear, timely communication and execution across a cross-functional leadership team. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working closely with senior leaders in a fast-paced environment. Bilingual (EN/FR) is a bonus.
Responsibilities
Key Responsibilities:
Executive & Leadership Support
Serve as a key administrative partner to the Leadership team (plus additional members when needed)
Coordinate schedules, meetings, and calendars for senior leaders
Prepare agendas, presentations, reports, and follow-up action items
Act as a liaison between leadership and broader Publicis Canada Groupe
Travel & Logistics Coordination
Manage and book domestic and international travel, including flights, hotels, ground transportation, and itineraries
Anticipate travel needs and proactively resolve scheduling or logistical issues
Track expenses and assist with expense reporting and reimbursements
Operations & Administrative Support
Support day-to-day operational activities to ensure efficiency and organization
Maintain organized records, files, and documentation
Assist with onboarding, offboarding, and internal process coordination
Handle confidential and sensitive information with discretion
Communication & Coordination
Facilitate clear communication across departments and leadership
Coordinate meetings, events, and off-site activities
Track deadlines, deliverables, and operational priorities
Qualifications
Q ualifications & Skills
2–3 years of experience in an operations, administrative, or executive support role or similar
Detail oriented
Strong organizational and prioritization, time-management, and multitasking skills
Excellent written and verbal communication abilities
High level of professionalism and discretion
Proficiency in Microsoft Office, Google Workspace, and scheduling tools
Ability to work independently and adapt in a fast-paced environment
Preferred Qualifications
Background in operations, project coordination, administration or office management
Familiarity with expense management and travel booking platforms
Additional information
Transparency matters to us. The salary range for this position is $65,000-$75,000 per year. Actual compensation within this range will be based on a variety of factors, including relevant experience, knowledge, skills, and applicable certifications. This range reflects what we reasonably expect to offer based on current market data.
