Actalent Administrative Services Assistant in The Dalles, Oregon
The Administrative Services Assistant is a full-time contract position located in The Dalles, Oregon. As a Field Clerk, the role provides administrative and confidential assistance to the District Operations & Maintenance Manager in the Transmission Field. The position supports approximately 54 staff members across two districts. The role also offers back-up assistance to other Field Clerks and serves as a liaison between organizations, work units, and management support staff.
Responsibilities
Perform a wide range of confidential administrative tasks for managers and staff.
Greet and screen visitors, handle inquiries according to established policy, and set appointments.
Create and maintain Excel spreadsheets and PowerPoint presentations for SharePoint sites.
Draft, proofread, and review correspondence and documents for manager signature, ensuring compliance with administrative policies.
Provide recommendations and instructions to maintain conformity with policies and procedures.
Attend meetings, record minutes, transcribe, and disseminate as needed.
Maintain a tracking system for action items to ensure timely compliance and responses.
Screen and respond to telephone calls, forwarding inquiries to appropriate personnel.
Process incoming and outgoing correspondence, including proofreading and distribution.
Establish communication channels to coordinate information flow and maintain positive relationships.
Perform tasks such as faxing, scanning, photocopying, and coordinating printing services.
Serve as backup to other Administrative Assistants/Field Clerks.
Coordinate and manage managers’ Outlook calendars and schedules, including meeting logistics.
Assist with personnel actions, draft retirement letters, and track authorizations and agreements.
Implement security requirements and serve as a field registrar for Public Trust Investigations.
Update emergency plans and ensure staff familiarity with procedures.
Coordinate performance management processes in Workday and track documentation.
Arrange domestic and foreign travel, including passport documentation and travel system profiles.
Coordinate Time & Attendance reporting and maintain employee leave calendars.
Provide administrative support to staff, acting as a liaison with various internal departments.
Coordinate office supplies and equipment maintenance.
Manage SharePoint site updates and permissions.
Adhere to Information Governance policies for record maintenance.
Coordinate events and celebrations, ensuring conformance with policies.
Essential Skills
Associate’s or Bachelor’s Degree in Office Administration/Management, Business Administration/Management, or a related field is preferred.
6 years of demonstrated administrative/clerical experience.
4 or more years of relevant work experience with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook.
Intermediate to advanced skills with SharePoint or similar systems.
Additional Skills & Qualifications
Experience in administrative support functions.
Strong data entry and correspondence skills.
Familiarity with MS Office Suite.
Work Environment
The position is part of a team responsible for the operations and maintenance of BPA's transmission grid, involving collaboration with District Managers and Field Clerks. The office environment is slower-paced with somewhat flexible hours, typically starting at 7 AM. Business casual attire is expected, and the role requires independent work with minimal supervision, focusing on deadline-driven tasks.

Pay and Benefits
The pay range for this position is $23.00 - $28.00/hr.
