Tarrytown, NY | Monday–Friday, 7:00 AM – 3:30 PM

Mechanical Construction | Large‑Scale Project Environment

Be the Organizational Force Behind a Major Mechanical Construction Project

We’re looking for a Construction Administrator who brings precision, discipline, and strong coordination skills to fast‑moving mechanical construction projects. This is a highly visible role supporting a major campus expansion, where your ability to manage documents, communication, and workflows will directly impact project success.If you enjoy being at the center of the action—coordinating teams, keeping information moving, and ensuring nothing slips through the cracks—this position offers long‑term career value and exposure to large‑scale mechanical construction.

Project & Document Control

  • Provide day‑to‑day administrative and coordination support to Project Managers and Project Engineers

  • Maintain complete, accurate project records including drawings, specifications, RFIs, submittals, and change documentation

  • Track, distribute, and manage drawing revisions so field teams always have current information

  • Upload, organize, and maintain documents in platforms such as Procore, SharePoint, and Bluebeam

Coordination & Communication

  • Prepare and distribute meeting agendas, meeting minutes, and project correspondence

  • Manage submittal and RFI logs, ensuring timely routing, tracking, and follow‑up

  • Act as a communication hub between project management, field supervision, fabrication teams, vendors, and subcontractors

  • Coordinate site access requirements including badges, onboarding paperwork, and safety documentation

Project Support & Closeout

  • Assist with tracking schedules, material procurement logs, and delivery milestones

  • Support change order documentation, labor tracking, and basic cost reporting

  • Play a key role in project closeout by assembling O&M manuals, as‑built drawings, warranties, and turnover packages

  • Help ensure full compliance with owner, GC, and internal documentation standards

Required Experience & Skills

  • 2+ years of experience as a Construction Administrator, Project Coordinator, or Project Assistant (1–5 years considered)

  • Prior experience supporting mechanical construction projects such as HVAC, plumbing, piping, or industrial systems

  • Working knowledge of construction documents including drawings, RFIs, submittals, and specifications

  • Proficiency with Microsoft Excel, Word, and Outlook

  • Hands‑on experience using Procore and Bluebeam

  • Strong organizational skills with exceptional attention to detail

  • Ability to manage multiple priorities in a deadline‑driven environment

  • Clear written and verbal communication skills

Preferred Qualifications

  • Experience with AutoCAD or Revit

  • Familiarity with piping systems or mechanical construction workflows

  • Exposure to construction project management practices

  • OSHA 30 certification (or willingness to obtain)

  • Coursework or a degree in Construction Management or Mechanical Engineering

This role supports a large mechanical construction project involving piping and equipment installation as part of a major campus expansion. You’ll work primarily in an office and site‑office setting, collaborating closely with field teams, fabrication shops, and subcontractors.

  • The project relies heavily on Procore and Bluebeam alongside Microsoft Office and design tools. The work culture emphasizes safety, accuracy, accountability, and strong communication between office and field operations.

Job Type & Location

This is a Contract to Hire position based out of Tarrytown, NY.

Pay and Benefits

The pay range for this position is $65000.00 - $85000.00/hr.
