Construction Administrator – Mechanical Construction

About the Role
We are seeking a highly organized Construction Administrator to support project management and field operations across active mechanical construction projects. This role is essential to maintaining accurate project documentation, coordinating with internal and external teams, and ensuring smooth communication between the office and field.
The ideal candidate has experience in construction administration or project coordination, understands mechanical construction workflows, and thrives in a fast‑paced environment supporting Project Managers, Project Engineers, and Superintendents.
Key ResponsibilitiesProject & Construction Administration
Provide daily administrative support to Project Managers and Project Engineers
Maintain organized project files, logs, and documentation including drawings, specifications, submittals, RFIs, and change orders
Track and distribute updated drawings, sketches, and revisions to field teams and subcontractors
Assist with preparing meeting agendas, minutes, and project correspondence
Document Control & Coordination
Manage submittal and RFI logs, ensuring timely routing, tracking, and follow‑up
Upload, organize, and maintain documents within project management platforms (Procore, SharePoint, or similar)
Ensure compliance with owner, GC, and internal documentation standards
Support project closeout activities including O&M manuals, warranties, as‑builts, and turnover packages
Scheduling, Cost & Vendor Support
Assist with tracking project schedules, procurement logs, and material delivery dates
Coordinate with vendors, suppliers, subcontractors, and fabrication teams
Support change order documentation, labor tracking, and basic cost reporting
Field & Office Coordination
Serve as a communication link between project management, field supervision, fabrication shop, and office staff
Coordinate site access requirements, safety paperwork, badges, and onboarding documentation
Support safety documentation tracking in alignment with company safety protocols
Qualifications
2+ years of experience as a Construction Administrator, Project Coordinator, or Project Assistant
Experience supporting mechanical construction (HVAC, plumbing, piping, industrial systems) strongly preferred
Working knowledge of construction documents, RFIs, submittals, and drawing management
Proficiency in Microsoft Office (Excel, Word, Outlook); experience with Procore or similar platforms is a plus
Strong organizational skills with excellent attention to detail
Ability to manage multiple tasks and deadlines in a fast‑paced environment
Clear written and verbal communication skills

Pay and Benefits
The pay range for this position is $65000.00 - $85000.00/hr.
