Description
We are seeking a Shared Services Lead based in Sydney to support our New South Wales offices. This role is responsible for leading and managing the Shared Services team across NSW, including our Sydney (CBD), St Leonards, Wollongong, Parramatta and Newcastle locations. As a key office management and administration function, the Shared Services team plays a vital role in ensuring the smooth day to day operation of our workplaces.
Shared Services is the first point of contact for staff and visitors, delivering a professional, welcoming and supportive experience. The team is known for its proactive, can-do attitude and commitment to creating a positive and engaging office environment. This includes coordinating in office events that enhance workplace culture, as well as supporting other business lines with meetings, events and general operational needs.
The Shared Services Lead will oversee the delivery of high quality administrative and office management services, fostering an efficient, safe and well organised work environment. The role also works closely with other functional support teams, including Finance, HSSE, Human Resources and IT to provide integrated support and assist these teams when required.
In addition, the role partners with peers across Australia to drive consistency in service delivery and contribute to a cohesive “one company” experience across all offices.
Day to day tasks would involve:
Lead and manage the Shared Services team across multiple NSW office locations, providing clear direction, coaching and ongoing support to ensure a high standard of service delivery
Travel between offices as required to maintain strong team connection, consistency in service delivery, and visibility across locations
Oversee office management and administrative operations, ensuring workplaces are efficient, well organised, safe and aligned with business needs
Build and maintain strong relationships with internal teams, leaders and external stakeholders, supporting collaboration and effective communication across the business
Provide hands on administrative support to business lines and functional teams as required, including coordinating meetings, events and day-to-day operational needs
Support the evolving needs of the business, including assisting with office co-locations, office upgrades, and the implementation of new systems and processes
Partner with functional support teams (Finance, HSSE, HR, IT)
Assist with onboarding, offboarding and staff transfers, ensuring a seamless employee experience
Assist in rolling out new processes, systems and policies, ensuring all staff are informed, supported and aligned with organisational changes
Coordinate and deliver initiatives and internal events that promote a positive and inclusive office culture, fostering staff engagement, wellbeing and connection across teams and locations
Identify opportunities to improve administrative processes, office functionality and service delivery, contributing to continuous improvement across Shared Services
To be successful for this role you'll need:
People management skills
Strong verbal and written communication skills
Computer proficient, including the Microsoft Office suite
Qualification in relevant discipline such as Business Administration or equivalent relevant experience
Demonstrated experience leading and delivering excellent administration and office management services, preferably in remote teams
Preferred skills and attributes:
Excellent organisation and time management skills, including the ability to multi-task and prioritise work
Advanced knowledge of Microsoft Office, with the ability to learn new systems easily
Excellent communication skills
Strong client-service focus with a can-do attitude
Initiative and self-starting to identify opportunities to provide support pro-actively to the business
