Job Title: Rail Yard Office Assistant FLSA Status: Non-Exempt (Part Time, Hourly)

JOB SUMMARY The Rail Yard Office Assistant provides administrative and clerical support to Rail Yard Operations. This position supports safe, compliant, and efficient rail yard operations through accurate reporting, documentation, recordkeeping, and coordination of administrative processes. The role requires regular interaction with operations personnel and an understanding of a safety-sensitive, industrial work environment. The Rail Yard Office Assistant is responsible for communicating operational or administrative issues to management in a timely manner.

DUTIES AND REQUIREMENTS include the following. Other duties may be assigned as necessary by manager. DUTIES: Completes daily, weekly, and periodic rail yard reports as required Assists with coordination and documentation related to track switches, work orders, and yard activities Serves as a point of contact for incoming calls, emails, and communications related to rail yard operations Creates, maintains, and updates electronic and paper filing systems in accordance with company and regulatory requirements Accurately enters and maintains data in internal systems, databases, and tracking logs Records operational information and updates documentation in a timely and accurate manner Maintains forms, records, and files in compliance with company standards and audit requirements Assists with organizing and maintaining office, shop, and yard administrative resources Performs general office and clerical duties, including errands related to yard operations as needed Maintains inventory, supply, and equipment records associated with administrative functions

REQUIREMENTS Ability to communicate professionally and clearly, both verbally and in writing, with management, employees, vendors, and visitors Strong organizational skills with the ability to manage assigned rail yard High attention to detail and accuracy Proficiency in basic computer applications, including Microsoft Word and Excel; ability to learn new software (i.e. QuickBooks) and operational systems within a reasonable timeframe Ability to compose, proofread, and maintain accurate records, reports, and logs Ability to establish priorities and meet deadlines while supporting operational demands

Willingness and ability to comply with all rail yard safety rules and wear required personal protective equipment (PPE), including but not limited to safety shoes, safety glasses, hard hats, hearing protection, and high-visibility apparel Ability to maintain confidentiality and exercise discretion when handling sensitive employee and operational information

EDUCATION and/or EXPERIENCE A high school diploma or associates degree is preferred. Experience as an office assistant in related field is preferred, or a combination of education and experience is required.
