Experience Qualifications:
3 years in records management, inventory, compliance, or a business-related field Required
Experience with records management, inventory, and compliance projects and programs, including experience with electronic records management systems, and the federal, state, and local rules and regulations related to records management and compliance. Preferred
Skills Qualifications:

Excellent skills in oral and written communication.
Knowledge of modern office practices and procedures.
Ability to scan, index, and retrieve files electronically, via microfilm, and hard copy.

Primary Responsibilities:
Responsible for supporting the daily operations of the records management, inventory, and compliance programs and assisting with records retention and destruction, and records management projects as assigned.
Ensure world-class customer service is provided by the Records Management, Inventory, and Compliance Office.
Work with appropriate GCPS offices, departments, or representatives when records related issues are identified in order to facilitate the gathering, maintenance, and distribution of appropriate data, information, and requests.
Continually cultivate a responsive and customer centered climate.
Assist local schools and central office staff with records management, inventory, and compliance questions and concerns as appropriate.
Assist with overall records management, inventory, and compliance process.
Coordinate with local schools and/or central office staff to transfer records and inventory to the Records Management, Inventory and Compliance Office.
Maintain applicable, reliable, and accurate logs, reports, and statistics related to the management and inventory of student records and other system records.
Assist with processes, procedures, and functions related to the receiving, storage, retrieving, delivery, and records request processing as applicable.
Maintain, protect, and secure student and system records in accordance with federal, state, and local rules and regulations.
Provide support and training to customers and stakeholders in matters involving records management, inventory, and compliance issues as applicable.
Provide support to other GCPS departments for electronic imaging, indexing, retrieval, and records quality control questions as applicable.
Provide consistent, accurate, detailed, and reliable response to requests for information concerning records management, inventory, and compliance statistics to develop Key Performance Indicators (KPIs) for student records and other system records.
Provide support with all inventory operations at the ISC, the on-site storage facility currently located at the GCPS property warehouse, and any inventory stored with any off-site storage vendors.
Perform student or system records scanning, indexing, and management functions to ensure student records are accurate, reliable, and legible.
Scan student records or other departmental records to electronic format.
Index departmental documents into the appropriate electronic imaging system in accordance with established policies and procedures to facilitate data integrity and easy retrieval.
Adhere to quality control guidelines and procedures to ensure accurate records processing.
Perform all duties in accordance with established policies and procedures to facilitate data integrity and the ability to accurately retrieve records as appropriate.
Ensure timely, consistent, and accurate processing guidelines based on pre-defined goals and expectations to meet customer needs (i.e., business owners, divisions, and departments.).
Assist with overall records management and inventory processes.
Remain informed with a consistent working knowledge pertaining to activities associated with the Georgia Open Records Act, Open Records Act, Georgia laws affecting records and information, Health Insurance Portability and Accountability Act (HIPAA), Family Education Rights and Privacy Act (FERPA), and other legal responsibilities pertaining to records management, inventory, and compliance programs.
Compile applicable logs, reports, and statistics to develop Key Performance Indicators (KPIs) for student records and other system records.
Participate in process discussions and activities associated with the district's records management, inventory and compliance programs.
Participate in training, education and communication opportunities for the Records Management, Inventory and Compliance Office.
Provide support and training concerning records management.
Provide training support to other GCPS departments for electronic imaging, indexing, and quality control questions.
Provide Technology Systems and Application Support, as assigned.
Participate in project meetings and implementation sessions, as assigned.
Collaborate and support stakeholders, developers, and divisional or department managers to identify, define, and document business needs and objectives.
Remain aware of and seek opportunities for technology and application improvements and opportunities and participate in necessary customer training sessions and support.
Assist with legal records and open records requests, as assigned.
Communicate with business and stakeholders to ensure effective and timely execution and management of requests.
Physical Demands:
While performing the duties of this job, the employee is required to stand, walk, negotiate stairs, climb ladders, reach with hands and arms, talk, and hear, manipulate tools and small items with hands, and lift and transport up to 50 pounds over short distances. The employee is required to operate a motor vehicle in performance of duties. Specific vision abilities required by this job include close vision, distance vision, and color vision. The employee may be subjected to a wide range of ambient temperature and humidity conditions while working on equipment under varying conditions including overhead work and work in confined spaces. Potential hazards of this position include working with electricity, working with heat and noise producing machinery and equipment, working on elevated equipment using ladders or other lifting devices, and use of chemicals and solvents.
