Description

We are looking for an experienced Executive Assistant to join our team in Stockton, California. In this long-term contract role, you will provide high-level administrative support, focusing on project coordination, technical writing, and organizational tasks. This position offers the opportunity to collaborate with senior leadership while ensuring efficient operations and communication within the executive office. Experience with government, city or state experience preferred.

Responsibilities:

• Provide comprehensive administrative support to the executive office, including managing schedules and prioritizing tasks.

• Coordinate and oversee project management activities, ensuring deadlines and objectives are met.

• Develop and maintain detailed reports, records, and specialized documentation using advanced technical writing skills.

• Organize and facilitate executive meetings, preparing agendas and recording minutes.

• Manage travel arrangements, including booking accommodations and coordinating itineraries.

• Interact with customers and stakeholders to address administrative and technical inquiries.

• Maintain the confidentiality of sensitive information while handling office communications and documentation.

• Perform reception duties, data entry, and records management to support daily operations.

• Ensure compliance with government regulations and transit agency standards in all administrative functions.

• Utilize computer systems and software to streamline processes and enhance productivity.

Requirements

• Minimum of 3 years of experience in a similar executive assistant role.

• Proficiency in technical writing and the ability to create specialized reports and documentation.

• Demonstrated experience in project management, including planning and coordination.

• Familiarity with government and transit agency operations and compliance standards.

• Strong organizational skills and attention to detail.

• Advanced computer proficiency, including Microsoft Office Suite and other relevant software.

• Excellent interpersonal and communication skills for interacting with stakeholders.

• Ability to maintain confidentiality and handle sensitive information responsibly.
