Job Title: Collections Specialist

Job Summary:

We are seeking a detail-oriented Collections Specialist with a strong Accounts Receivable background to join our team. The ideal candidate will have experience managing outstanding accounts through proactive outbound calling and email communication, along with strong systems skills and a high level of accuracy. This role is responsible for following up on past-due balances, maintaining positive client relationships, and supporting overall cash flow objectives.

Key Responsibilities:

  • Manage a portfolio of customer accounts to ensure timely collection of outstanding balances

  • Conduct high-volume outbound calls and email outreach to follow up on overdue invoices

  • Review aging reports and prioritize collection efforts based on account status

  • Research, reconcile, and resolve billing discrepancies, short payments, and unapplied cash

  • Partner with internal teams such as Accounts Receivable, Customer Service, and Sales to resolve payment issues

  • Document collection activity, account updates, and dispute details within the system

  • Process account adjustments, credit memos, and payment plans as needed

  • Maintain accurate customer records and ensure compliance with internal policies

  • Support month-end AR close activities and reporting as requested

  • Identify trends or recurring issues and recommend process improvements

    Requirements

  • 2+ years of experience in collections and/or accounts receivable

  • Strong experience with outbound phone and email collections

  • Solid understanding of AR processes, aging, cash application, and account reconciliation

  • Strong attention to detail and ability to work with a high degree of accuracy

  • Experience using ERP/accounting systems and intermediate to advanced system skills

  • Proficiency in Microsoft Excel, including filtering, sorting, and basic formulas

  • Strong communication, negotiation, and problem-solving skills

  • Ability to manage multiple priorities in a fast-paced environment

Preferred Qualifications:

  • Experience in a high-volume B2B collections environment

  • Familiarity with credit and collections policies

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
