The Meetings and Communications Specialist provides essential administrative, logistical, and communications support for the Governor’s Workforce Development Board (GWDB), Interagency Workforce Alignment (IWA), and the Office of Public Service (OPS). This position coordinates meeting and event scheduling, supports in-person and virtual meeting operations, prepares and distributes accessible meeting materials, manages official rosters and communications, and ensures compliance with Minnesota’s Open Meeting Law and accessibility standards. The incumbent works closely with internal DEED partners, external stakeholders, board and committee members, and the public to support smooth, professional, and timely execution of meetings and daily operations. This role requires strong organizational skills, attention to detail, confidentiality, and the ability to support leadership and manage multiple priorities in a fast-paced environment.

This position is telework (https://mn.gov/mmb-stat/policies/1422-telework.pdf) eligible. Staff are provided with the tools and equipment to be successful in a virtual work environment. Please note, the telework policy could change with notice based on business needs.

Minimum Qualifications

  • Skill in database management sufficient to develop and maintain databases and calendars for staff.

  • Knowledge of communications sufficient to follow detailed instructions and explain complex processes to customers.

  • Knowledge of communications sufficient to share information and communicate with stakeholders and colleagues.

  • Skill in word processing sufficient to use software, such as Microsoft Word, to type and format letters, memos, reports, and minutes of meetings, etc.

  • Skill in data entry sufficient to maintain accurate records and reports.

  • Skill in using spreadsheet applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data.

Preferred Qualifications

  • Experience coordinating meetings or events, including logistics, room setup, AV/virtual platform support, or material preparation.

  • Experience preparing documents that meet accessibility standards (e.g., WCAG or Minnesota Accessibility Standards).

  • Experience working in environments that require compliance with public meeting laws, such as Open Meeting Law posting and documentation.

  • Experience managing shared calendars, distributing official communications, or maintaining board/committee rosters in a government, nonprofit, or complex stakeholder environment.

  • Experience working with diverse internal and external partners, such as state agencies, elected officials, community organizations, employers, Tribal Nations, or public-facing stakeholders.

  • Experience troubleshooting technical issues related to virtual meetings, audiovisual equipment, or livestream support.
