Admissions Data & Processing Coordinator
The Admissions Data & Processing Coordinator serves as a key member of the Medforth Global Education (MGE) Admissions Operations team, responsible for the accurate intake, validation, and processing of applicant data and documentation across all programs and regions. This role ensures the integrity, completeness, and timely movement of applicant records within Salesforce and related institutional systems.
The Coordinator plays a critical role in supporting operational efficiency by managing inbound application materials, document indexing, recruitment event data entry, and shared inbox workflows. Acting as the first line of data validation, this position ensures records are accurate, compliant, and complete before progressing to Admissions Coordinators for review and decision processing.
This role does not carry a student caseload or advising responsibilities but is essential to maintaining data integrity, reducing processing errors, and supporting a seamless admissions workflow.
Essential Functions
Data Intake & Application Processing
Enter, update, and validate applicant information in Salesforce and other institutional systems with a high level of speed and accuracy.
Process application submissions, uploaded materials and supporting documentation received through digital and mailed channels.
Conduct duplicate record checks and ensure adherence to established data standards and coding protocols.
Clarify questionable or incomplete data by reviewing source documents and coordinating internally as needed.
Document Management & Indexing
Upload and index applicant documents within the document imaging system, ensuring accurate categorization and record association.
Process inbound mail, including transcripts, letters of recommendation, and official documents.
Verify document completeness and accuracy prior to workflow advancement.
Data Validation & Quality Assurance
Perform first-line quality checks on applicant records before files move to Admissions Coordinators.
Conduct routine audits to ensure compliance with data entry and processing standards.
Identify trends in data inconsistencies and escalate concerns to the Manager, Admissions Operations.
Support continuous improvement of intake and validation workflows.
Inbox & Workflow Support
Monitor shared departmental inboxes, triage communications, and distribute inquiries appropriately.
Support timely workflow movement by ensuring applications and documents are processed efficiently.
Assist in maintaining service-level standards for intake and data processing.
Other Duties
Assist with operational projects, system updates, and process enhancements as assigned.
Provide coverage for admissions functions as needed to ensure uninterrupted service to applicants.
Provide coverage support during peak admissions cycles.

Knowledge, Skills & Abilities

Proficiency in Microsoft Office applications (Word, Excel).
Ability to learn and navigate CRM systems (Salesforce preferred).

Qualifications
Required
High School Diploma required; Associate’s or Bachelor’s degree preferred.
1–3 years of experience in data entry, administrative processing, admissions operations, or related field.
Preferred
Experience in higher education admissions or enrollment operations.
Experience using Salesforce or comparable CRM systems.
Familiarity with document imaging or indexing systems.
Work Environment & Expectations
Professional office or hybrid environment with frequent use of digital systems and workflow platforms.
Ability to maintain focus and accuracy in a high-volume admissions setting.
Standard full-time schedule, Monday–Friday, with flexibility during peak periods.
