Academic Enrollment & Compliance Specialist
The Academic Enrollment and Compliance Specialist provides essential administrative and student support. This role is responsible for ensuring student records are accurately maintained, updated, and reported in compliance with University policies and U.S. Department of Education (DOE) regulations.
As a member of the Academic Enrollment and Compliance team, the Specialist plays a key role in monitoring student enrollment, validating credentials, and ensuring compliance across all University programs. The position requires close collaboration with Financial Aid, Office of the University Registrar, Bursar, Clinical Education Operations, and other institutional stakeholders to maintain accuracy, support students, and safeguard regulatory compliance. This position reports to the Associate Registrar, Academic Enrollment and Compliance.
Essential Functions
Deliver excellent, student-centered service by responding promptly to inquiries (phone, email, and in person), processing enrollment changes accurately, and upholding FERPA regulations.
Collaborate with the Office of Clinical Education Operations to ensure students provide updated clinical rotation schedules as required for enrollment.
Monitor and process administrative withdrawals for students who are out of compliance, including sending communications, and updating records in Banner. Following up with students via phone/text/email/zoom meetings as needed.
Validate all enrollment changes across schools and programs to ensure timely and accurate updates consistent with University policies.
Monitor, update, and process Leaves of Absence (LOA) and Withdrawals (W); ensure outreach to students scheduled to return to the University. Following up with students via phone/text/email/zoom meetings as needed.
Process enrollment verifications, certifications, and other academically related documentation while ensuring compliance with FERPA and University policies.
Manage and resolve requests received through AEC emails and the COES system, ensuring timely assignment and processing.
Responsible for reviewing a multitude number of reports and then proceeding with making changes in SGU systems.
Perform accurate data entry, maintenance, and reporting in Banner and other systems; ensure all enrollment records are current, complete, and compliant.
Collaborate with Registrar staff and other institutional stakeholders to ensure correct enrollment information is received and processed.
Serve as a resource for students, faculty, and staff on enrollment and compliance-related inquiries, resolving issues with professionalism and accuracy.
Maintain strong internal documentation practices and contribute to process improvements that enhance compliance and operational efficiency.
Other Duties
Provide coverage for core functions as needed to ensure uninterrupted service to students, graduates and staff.
Perform other duties and special projects assigned by leadership.

Proficiency in Microsoft Office applications (Excel, Word, PowerPoint) with the ability to learn new software quickly.
Familiarity with Registrar best practices, including degree auditing and student record policies.
Strong customer service skills with the ability to advise and counsel students in a professional and empathetic manner.
Demonstrated experience with enterprise student information systems; Banner experience strongly preferred.
Knowledge of FERPA regulations and compliance requirements.
