Electrical Builders Project Administrative Assistant in St Cloud, Minnesota

A DAY IN THE LIFE

This is more than an administrative job — it’s a dynamic support role at the center of the action for EBI’s Project Management team. One day, you're organizing travel logistics for a crew heading to a power plant; the next, you’re assembling project documentation that keeps operations running smoothly. You'll be the right hand to our Project Managers, making sure all the pieces are in place for successful project execution.

You thrive on structure but can pivot quickly when priorities change. You're organized, detail-oriented, and take pride in keeping things on track — from filing reports and booking travel to gathering field data and managing time entries. Your work behind the scenes is crucial to delivering the high-performance outcomes EBI is known for.

WHAT YOU’LL DO

  • Maintain organized electronic filing of project paperwork (JPRs, change orders, etc.)

  • Updates Field Crew hours tracking sheets with current hours worked.

  • Verify and track Field Crew expenses against approved amounts

  • Schedule and support internal meetings, customer calls, kickoffs, and job closeouts

  • Coordinate travel logistics for Project Managers and crews (flights, hotels, rental cars, etc.)

  • Gather and enter project data, track progress, and generate reports as needed

  • Communicate with internal teams to keep projects on time and within scope

  • Support ISO 9001 process improvements and participate in audits and internal evaluations

  • Prepare and distribute essential project documentation, including change orders, daily reports, and field paperwork

  • Assist with lesson learned presentations and serve as backup presenter when needed

  • Remain available for occasional early morning, evening, or weekend project support

  • Pitch in wherever needed — this is a team that gets things done together

WHAT YOU BRING TO THE TABLE

  • 3+ years in an office support or project coordination role

  • Valid driver’s license and ability to pass pre-employment screenings

  • Proficient in Microsoft O365 (Word, Excel, PowerPoint, Teams, OneDrive)

  • Ability to stay focused under pressure and prioritize

  • Ability to use basic office equipment (copier, fax, etc)

  • Ability to create and design presentations

  • Self starter with ability to work both independently and in a team environment.

  • Calm under pressure and skilled at juggling competing priorities

  • Comfortable working independently while staying closely aligned with team goals

  • High attention to detail and excellent written/verbal communication skills
