General Function

The Administrative Assistant I provides administrative support to managers or supervisors or assists in providing administrative support for the department in conjunction with higher level administrative support positions. The Administrative Assistant I performs administrative support duties as determined by the supervisor and generally works with a limited number of less complex administrative and financial processes. The Administrative Assistant I assists the supervisor or other administrative support personnel with the department’s administrative activities, stores and retrieves information, and may serve as the first point of contact for the department with the public, other departments, students, faculty, and staff.

Description of Primary Duties

This position is based in the Davis-Harrington Welcome Center. The Office of Admissions has two locations: the Welcome Center and Carrington Hall. Some travel between buildings or other campus locations is required.

The Welcome Center Receptionist greets campus visitors, schedules meetings for prospective students with campus constituents, and provides general support to the University Ambassadors giving tours of campus. The Welcome Center Receptionist interacts with prospective students and campus constituents by phone and email to individually tailor visits to families’ needs.

Essential Duties and Responsibilities

  • Answers phone calls and emails from prospective families and campus constituents.

  • Monitors registrations for campus visits and special events ensuring tailored visit appointments as requested.

  • Welcomes guests to the Davis-Harrington Welcome Center assisting with parking information, visit itineraries, wayfinding, and other guest needs.

  • Utilizes the CRM to update attendance status, to record appointments, and to communicate with families.

  • Ensures the Welcome Center is stocked with publications, swag, and other items needed to support the visit program.

  • Interacts with and provides supervision to the University Ambassadors as assigned by the Director of Admissions or their designee. The Ambassadors are a group of student workers who provide tours to prospective families.

  • Assists campus constituents who wish to schedule meetings or events in the Welcome Center.

  • Supports the success of the Office of Admissions by performing other duties as assigned.

    Minimum Acceptable Qualifications

    Education/Experience: A high school diploma or the equivalent and two years of general office experience or an equivalent combination of education and general office experience is required.

Skills: Keyboarding skills with speeds are required. A working knowledge of word processing and spreadsheet applications is required. A working knowledge of or the ability to learn and use database applications, the web content management system, the administrative business system or enterprise resource planning system, and other systems or applications that may be used within the University or department is required. The ability to operate and troubleshoot electronic office equipment, computers, and peripherals, maintain moderately complex filing systems and records, and make mathematical calculations is required. Effective verbal and written communication skills are required. Must be able to train, assign work, and review the work of student workers.

Effort: Administrative support positions are primarily sedentary. Administrative support positions require extensive keyboarding.
