The Clinical Lead Medical Assistant provides a blend of hands-on clinical care and administrative leadership, spending approximately three days each week in direct patient care and two days in team and operational oversight. This role supports multiple providers, including serving as the primary medical assistant for one provider while assisting others and helping onboard a new hand provider. The Clinical Lead Medical Assistant ensures high-quality patient care, efficient clinic operations across multiple sites, and strong leadership for a team of approximately 25 medical assistants.
Responsibilities
Provide direct patient care, including taking vital signs, preparing patients for procedures, and explaining treatments, medications, and post‑procedure care in a clear and compassionate manner.
Support multiple providers by serving as the primary medical assistant for one provider while assisting additional providers as needed, including onboarding and supporting a new hand provider.
Use the ModMed EMR system to update patient charts, document medical histories, reconcile medications, and manage imaging orders, referrals, and STAT requests.
Prepare patient charts in advance of appointments, ensuring all required forms, documentation, and records are complete and accurate.
Document and review charts for MIPS compliance, identify gaps in documentation, and train the medical assistant team to meet Medicare quality and reimbursement requirements.
Fully manage shift assignments and daily coverage for approximately 25 medical assistants across six sites, including assigning float staff and filling coverage gaps as needed.
Provide day-to-day leadership, motivation, and accountability for the medical assistant team, monitoring performance and escalating corrective actions when necessary.
Train, onboard, and support new and existing medical assistants, assisting with performance tracking, workflow improvements, and best practices.
Manage weekly scheduling for the medical assistant team and approve timecards in ADP to ensure accurate timekeeping and staffing.
Support OSHA compliance and operational readiness by reinforcing safety standards and ensuring adherence to regulatory requirements.
Assist with patient scheduling and rescheduling, and support front-end communication, including helping the call center during coverage shortages.
Verify patient insurance coverage, collect copayments, and support billing and claims processing by ensuring documentation accuracy.
Coordinate faxing and record-sharing between sites to maintain complete, accurate, and up-to-date patient files.
Work closely with providers, leadership, and administrative teams to maintain smooth patient flow and efficient clinic operations.
Maintain HIPAA compliance and patient confidentiality at all times while providing a high standard of compassionate, professional patient care.
Remain on-site until the last patient has been seen and checked out, even when this extends beyond the scheduled shift end time.
Essential Skills
Minimum of 5 years of clinical experience, with demonstrated supervisory or lead responsibilities (formal or informal).
Proven medical assistant experience, preferably in an orthopedic or similar specialty setting.
Hands-on experience working with electronic medical records (EMR), specifically ModMed or similar systems.
Strong people management and supervisory skills, including scheduling, delegation, performance monitoring, and coaching.
Ability to manage and coordinate shift assignments and coverage for a large team across multiple locations.
Solid understanding of clinical workflows, patient preparation, vitals collection, and post‑procedure instructions.
Knowledge of insurance verification, copayment collection, and basic billing and claims documentation.
Familiarity with MIPS requirements and Medicare quality and reimbursement documentation standards, or the ability to learn quickly and train others.
Ability to maintain strict HIPAA compliance and protect patient confidentiality.
Strong communication and interpersonal skills to interact effectively with patients, providers, and staff.
Organizational skills and attention to detail for accurate charting, scheduling, and documentation.
Additional Skills & Qualifications
Experience in orthopedics or working with orthopedic providers is highly preferred.
Prior experience leading or coordinating a team of medical assistants across multiple sites is a plus.
Comfort working in a fast-paced environment with 20–40 patients per day, depending on provider schedules.
Ability to adapt to changing coverage needs and support multiple providers as required.
Experience with ADP or similar timekeeping and scheduling systems is beneficial.
Interest in teaching, mentoring, and helping others grow in their clinical roles.
Ability to identify workflow gaps and contribute to process and efficiency improvements.
Work Environment
This is a full-time, 40-hour-per-week role in a multi-site clinical environment with a local, small-group feel. Typical shifts are Monday through Friday, either 7:30 a.m.–4:00 p.m. or 9:00 a.m.–5:00 p.m., with one routine evening shift per week from 12:00 p.m.–8:00 p.m., scheduled in advance. Schedules are published weekly, and team members are expected to work one weekend approximately once per quarter based on staffing needs. The Clinical Lead Medical Assistant covers all locations, with a routine rotation established across sites such as Randolph, Sparta, Hackettstown, Morristown, and Cedar Knolls, and must remain flexible to support any site as needed. The environment is patient-facing the majority of the time, with frequent in-person interaction and a typical volume of 20–40 patients per day, averaging about one patient every 15 minutes depending on the provider. The team uses ModMed EMR and ADP for scheduling and timekeeping and follows OSHA and HIPAA standards. Pay and Benefits
The pay range for this position is $26.00 - $30.00/hr.
