Warehouse Coordinator:
Role and Responsibilities
Purchasing:
- Requires some knowledge of HVAC/Heating/AC parts
- Order job-specific materials, track deliveries, and notify Dispatch upon receipt.
- Monitor stock levels and create purchase orders based on inventory levels and projected usage.
- Enter pick tickets for stock and non-stock purchase orders.
- Issue purchase orders and match vendor invoices to pick tickets.
Warehouse:
- Scan and apply barcodes to received materials and maintain an organized inventory.
- Ensure returned stock is properly placed and manage inventory adjustments and restocking of HVAC and electrical truck stock.
- Manage inventory of damaged equipment and update pricing in the inventory system.
- Assist technicians with inventory issues and customer price quotes.
- Conduct annual physical inventory and reconcile counts with the system.
Expediting:
- Pull materials from stock or order from vendors for customer jobs.
- Stage materials in the warehouse and tag them with the appropriate job information.
- Deliver parts to job sites as needed to expedite work.
Warranty:
- File warranty claims and maintain a log of claims.
- Order warranty replacement parts from vendors.
- Manage warranty parts and dispose of expired parts properly.
- Ship old parts to vendors as required.
Other Responsibilities:
- Maintain Material Safety Data Sheets (MSDS) and provide copies to customers.
- Manage Freon usage sheets and update prices for inventory items.
- Monitor vehicle maintenance and initiate corrective action when needed.
- Perform other duties as required.
Qualifications and Education Requirements:
- Excellent computer skills (MS Word, MS Excel).
- Strong analytical, interpersonal, and communication skills.
- Ability to exercise sound judgment, meet deadlines, and solve problems.
- Strong organizational skills and attention to detail.
- Demonstrated professionalism, tact, diplomacy, and confidentiality.
Preferred Skills:
- Database maintenance and preparation.
- Minimum of three years' warehouse management experience.
- Working knowledge of HVAC/Electrical software applications (e.g., FieldEdge).
Working Conditions:
- Works in warehouse and field environments.
- Must occasionally travel to meet technicians, customers, or vendors.
- Adherence to the Safety Policy and Driving Safety Policy is vital.
Physical Demands:
- Must be able to lift/carry up to 50 lbs.
Mental Requirements:
Self-motivated and able to handle changing priorities.
Must respond professionally to difficult situations.
