Coldstream Wealth Management Office Manager in Seattle, Washington

Job Descriptions:

Coldstream Wealth Management is looking for an organized, outgoing Office Manager/Administrator to support two teams at one of our Seattle offices. If you’re interested in learning about wealth management while providing exceptional client service, this could be the perfect next step in your career!

You’ll manage the front desk and administrative operations for the office, reporting to the HR Director in Bellevue. Work hours are on-site 7:00 AM to 4:00 PM, Monday through Friday, with an hour for lunch.

Responsibilities include:

  • Process new client and account paperwork

  • Deposit incoming checks

  • Provide administrative support, including scanning/saving documents, entering information in our client database (Salesforce), and scheduling/confirming client meetings

  • Prepare, mail, and track birthday, anniversary, and holiday cards and gifts

  • Assist two team leads with expense reporting

  • Assist with event planning

  • Open and close the office daily

  • Answer incoming phone calls, provide general information, and direct calls to appropriate team members

  • Greet visitors, manage parking validation, and provide beverages

  • Manage all incoming and outgoing mail; occasionally deliver outgoing mail to post office or UPS

  • Monitor client meetings, place lunch orders, and maintain reception area and conference rooms

  • Order office and kitchen supplies and manage annual supply budgets

  • Keep kitchen organized and neat, including running and unloading the dishwasher daily and cleaning out refrigerator items weekly

  • Arrange for service of office equipment as needed

  • Revise office procedures manual as needed

Required Experience:

  • 2+ years of administrative experience in a professional office environment

  • High school diploma or equivalent; Bachelor’s or Associate’s degree is preferred

  • Proficiency with Microsoft Office (Outlook/calendaring, Word, Excel) and Adobe Acrobat and the ability to learn new software

  • Ability to communicate courteously, discreetly, and effectively with a wide variety of people

  • Ability to work independently, completing tasks in an efficient manner while maintaining accuracy

  • Excellent organizational and prioritization skills
