Job Description
Housing & Food Services (HFS) has an outstanding opportunity for an HR Administrator - Leaves, Accommodation & Administration to join their team and s erve as an administrative resource for staff and provide technical support in executing compensation, classification, recruitment, and related human resources functions. Responsible for oversight of the leaves program for Family Medical Leave, Paid Family Medical Leave, L&I, and Disability Leave.
Human Resources Administration (65%)
Effectively maintains all HR electronic files including employee records, recruitment files, org charts and Position Description Library. Utilize retention standards to maintain records.
Executes the annual Suspended Operations process including analysis and distribution of all Essential Employee notifications.
Maintains supplies and office equipment and implement internal office procedures to facilitate effectiveness.
Prepares correspondence for signature for HR Managers, and Executive Director including appointment letters and HR notifications.
Manages the Annual Performance Evaluation process through tracking, filing and reporting to Executive Director.
Interprets institutional policy, including Labor Union contracts, Federal & State Labor Laws, Family Medical Leave Act, Americans with Disabilities Act, UW HR policies, and departmental unit procedures.
Reviews resumes, conduct screening interviews, supporting recruiters in the selection process.
Represents in job fairs, post on job sites, coordinates marketing and outreach events for recruitment.
Conducts departmental training, presentations, and orientations.
Serves on departmental collaboration committees and represents at the UW HR meetings.
Manages and tracks compliance for training completion
Supports the student employment program by providing guidance and direction to HR Student Assistants.
ProCard reconciliation
Manages and tracks HR business processes in Workday, including job changes, terminations, and compensation changes.
Schedules meetings for the Director and HR Managers.
Prepares Workday reports, analyzes data and summarizes for HR management team.
Serves as point for the I-9 verification process.
Leaves of Absence/Accommodations (35%)
Liaises with UW Human Resources Leaves on leaves of absence or accommodations due to work injury/illness and/or extended leaves of absence to ensure UWHR approvals are current.
Serves as a resource for employees who have questions about their leaves or accommodations.
Monitors expiring leaves and accommodations; takes action as needed to facilitate the extensions and medical separations
Monitors and tracks the L&I return-to-work program. Liaises with the Employee Relations/Accommodation Specialist on accommodations required for return.
IMPACT TO THE UNIVERSITY
Effective support of human resources team within Housing & Food Services. Supports the leave functions departmentally, ensuring excellent employee experience.
POSITION COMPLEXITIES
Serving and advising management with diverse lines of business in a complex organizational structure that receives advisement from Central University Human Resources, Risk Management and Leave Management.
WORKING CONDITIONS
The position works weekday office hours with occasional evening and/or weekends to participate in special events. Work is time sensitive and requires maintaining focus while expediting high-quality work products.

QUALIFICATIONS
Bachelor’s degree in education, human resources or other related field
Two years of human resources experience including supporting leave & accommodation requests
Experience providing administrative support for a complex organization
Success explaining complex policies and procedures
Effective use of Microsoft applications (i.e., Word, Excel, SharePoint, Teams); use of Workday or a comparable HRIS.
DESIRED QUALIFICATIONS
Clear, empathetic and respectful written and oral communications
Ability to work effectively as a team member in shared environments
