Description We are looking for a detail-oriented and friendly Front Desk Coordinator to join our team on a contract basis in Portland, Oregon. This position plays a vital role in ensuring smooth daily operations by providing excellent customer service and supporting administrative functions. The ideal candidate will have strong organizational skills and the ability to multitask in a fast-paced environment.
Responsibilities:
• Welcome and assist clients, visitors, and staff with a positive and detail-oriented attitude.
• Schedule meetings, appointments, and conference rooms efficiently.
• Maintain and manage office supplies, inventory, and equipment, ensuring the front desk remains organized.
• Keep accurate records and update files and databases as needed.
• Handle incoming and outgoing mail, deliveries, and packages.
• Perform administrative tasks, such as data entry, document preparation, and report generation.
• Provide support for onboarding processes and assist with HR-related tasks.
• Ensure strict adherence to company policies and maintain confidentiality.
• Answer and direct calls using a multi-line phone system.
• Deliver concierge-style services to enhance the overall client and visitor experience. Requirements • Proven experience in receptionist or front desk roles.
• Familiarity with handling multi-line phone systems and switchboards.
• Strong customer service skills and the ability to handle concierge-style tasks.
• Proficiency in managing inbound calls and directing them appropriately.
• Excellent organizational and multitasking abilities.
• Demonstrated experience with administrative tasks, including data entry and record keeping.
• Ability to maintain confidentiality and uphold company policies.
