Aston Carter Entry-Level Recruiting Coordinator in Seattle, Washington
The Recruiting Coordinator works closely with a team of recruiters in a fast-paced recruiting organization to support all stages of the hiring process. This role serves as an integral partner in managing recruiting activities, maintaining accurate candidate records, and building strong candidate relationships, often providing candidates with their first impression of the organization. The position is ideal for someone who enjoys high-volume coordination, excels at organization and communication, and wants to broaden their experience within a top-tier recruiting function.
Responsibilities
Schedule interviews and phone screens by working directly with candidates and hiring teams, including arranging travel for visiting candidates when needed.
Update candidate records and job postings in recruiting and applicant tracking systems, ensuring information remains accurate and current.
Confirm new hires in the recruiting systems and support onboarding-related coordination as required.
Provide timely follow-up correspondence to candidates regarding their recruiting status via phone and email, ensuring a professional and positive candidate experience.
Track recruiting activities and prepare weekly reports on candidate status and pipeline progress.
Coordinate post-interview debrief meetings, including scheduling participants and preparing and distributing debrief materials.
Identify opportunities to improve candidate experience and scheduling efficiency, and share recommendations with the recruiting team.
Assist in the coordination and execution of other recruiting activities and projects as needed, supporting the overall goals of the recruiting organization.
Deliver high-volume scheduling support while maintaining accuracy, professionalism, and responsiveness to both internal stakeholders and external candidates.
Essential Skills
At least 1 year of experience as a recruiting coordinator or in a coordination-focused role.
1–2 years of administrative experience supporting multiple stakeholders or teams.
Demonstrated experience with high-volume scheduling of interviews or meetings.
Proficiency with Microsoft Word, Excel, and PowerPoint.
Experience working with applicant tracking systems (ATS) or similar recruiting systems.
Strong customer service skills with the ability to communicate clearly and professionally with candidates and internal teams.
Excellent attention to detail and strong organizational skills to manage multiple tasks and priorities.
Ability to work effectively in a fast-paced, quickly changing environment.
Bachelor’s degree.

Superb customer focus and a service-oriented mindset when interacting with candidates and hiring teams.
Strong oral and written communication skills for candidate correspondence and internal updates.
Proven ability to manage details accurately while handling multiple scheduling and administrative tasks.
Experience supporting onboarding activities or new hire confirmations is a plus.
Demonstrated ability to build positive working relationships with internal and external stakeholders.
Comfort adapting to changing priorities and processes within a dynamic recruiting organization.
Work Environment
This position is 100% onsite, working in a fast-paced, high-volume recruiting environment. The Recruiting Coordinator collaborates closely with recruiters, hiring teams, and candidates throughout the day, using recruiting systems and applicant tracking tools alongside Microsoft Word, Excel, and PowerPoint. The role involves frequent communication by phone and email, as well as regular coordination of meetings and debrief sessions in an office setting that values responsiveness, accuracy, and a strong candidate experience.

Pay and Benefits
The pay range for this position is $24.00 - $24.00/hr.
