BeOne Medicines is seeking an experienced Senior Manager/Associate Director, Global Congresses to lead the planning and execution of the company’s participation in the most strategically important oncology congresses for the organization.
This position requires a professional who combines strategic thinking, operational leadership, and strong cross-functional collaboration skills. The Senior Manager/Associate Director, Global Congresses will oversee the full lifecycle of assigned congresses, lead cross-functional planning teams, and ensure operational excellence while maintaining rigorous financial oversight and compliance with company policies.
Working in a highly collaborative and global environment, the Senior Manager/Associate Director, Global Congresses will serve as a key operational and strategic partner to internal stakeholders, supporting the successful delivery of BeOne Medicines’ participation in major international oncology congresses.

The Associate Director, Global Congresses operates in a highly visible and strategically important environment within BeOne Medicines.
The role is responsible for leading the planning and execution of ASCO and ASH, two of the largest and most influential oncology congresses globally, bringing together thousands of healthcare professionals, researchers, and industry stakeholders.

In this context, the Associate Director, Global Congresses will coordinate complex cross-functional initiatives involving multiple internal teams and external partners. The role requires the ability to manage large-scale operational projects and ensure that congress participation reflects the company’s scientific and operational standards.
Through the successful execution of these congresses and the continuous improvement of congress processes, systems, and governance, this role contributes directly to strengthening BeOne Medicines’ presence at major international oncology meetings.
Key responsibilities
Congress leadership
Serve as congress lead and cross-functional planning lead for Tier 1 congresses held in the United States, including but not limited to ASCO and ASH, overseeing the full lifecycle from early planning through on-site execution and post-congress reporting.
Provide strategic support within cross-functional planning teams for major European congresses, including but not limited to EHA & ESMO, ensuring alignment across global stakeholders.
Translate cross-functional business objectives into integrated congress strategies and operational plans.
Cross-functional planning and governance
Major congresses are managed through cross-functional planning teams composed of representatives from Global & Regional Commercial teams, Medical Affairs, Corporate Affairs, Compliance, Procurement, and other internal stakeholders.
In this role, the Senior Manager/Associate Director, Global Congresses will:
Lead planning timelines and governance for assigned congresses
Facilitate cross-functional alignment and decision-making
Coordinate multiple workstreams and ensure operational readiness
Provide structured updates and reporting to senior leadership
Success in this role requires the ability to drive alignment, coordination, and execution across complex stakeholder environments.
Congress operations and on-site execution
Lead the end-to-end operational planning and execution of assigned congresses, including:
Securing sponsorships
Booth planning and construction
Business center and meeting space management
Congress logistics and staff coordination
Congress application deployment
On-site operational leadership
Co-lead the booth planning workstream, ensuring close coordination with agencies and internal stakeholders.
Congress digital platforms
Lead the operational management of the congress application environment.
Oversee registration processes in Cvent, meeting scheduling in Jifflenow, and participant engagement through the congress app.
Contribute to initiatives aimed at optimizing and evolving the Cvent environment used across congress operations.
Budget management and financial oversight
Manage the budgets for assigned congresses.
Ensure appropriate financial planning, cost tracking, and post-congress reconciliation.
Maintain full compliance with internal financial policies, procurement processes, and healthcare compliance requirements.
Sponsorship Management
Manage selected minor congress sponsorship opportunities intended to enhance BeOne Medicines’ visibility and contribute to the company’s overall congress presence.
Evaluate sponsorship opportunities and ensure alignment with strategic priorities and budget governance.
Strategic initiatives and continuous improvement
Lead or contribute to strategic initiatives aimed at improving congress operations, systems, and digital environments.
Support change management initiatives, including the evolution of congress planning tools such as Cvent.
Identify opportunities to improve operational efficiency, stakeholder engagement, and congress governance.

Required Experience
BA/BS Degree with 10+ years of experience in global congress management, meeting planning, or large-scale event management, within the pharmaceutical or biotechnology industry.
Demonstrated experience managing major oncology congresses, particularly ASCO and/or ASH.
Experience operating within global cross-functional environments.
Required skills and competencies:

Strong understanding of the operational environment of major oncology congresses such as ASCO, ASH, EHA and ESMO.
Experience managing large-scale congress operations including booth environments, business centers, and stakeholder engagement platforms.
Digital and systems expertise
Advanced experience with Cvent required.
Experience managing digital engagement platforms (ex SpotMe).
Project management and operational execution
Strong project management capabilities with attention to detail and organizational rigor.
Ability to manage multiple complex workstreams simultaneously.
Ability to anticipate risks and proactively address operational challenges.
Financial management
Proven ability to manage large congress budgets with strong financial discipline.
Experience in financial planning, cost tracking, and reconciliation.

Travel requirements
The Associate Director, Global Congresses role requires the ability to travel to support the planning and on-site execution of major oncology congresses and related operational activities.
Travel is primarily associated with attendance at Tier 1 congresses, including but not limited to ASCO and ASH, as well as occasional planning meetings, site visits, and collaboration with internal teams or external partners.
Travel is expected to represent approximately 20% of the role, depending on the annual congress calendar and project requirements
