Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.

  • High School Diploma or GED

  • Ability to communicate effectively by creating clear, concise, and grammatically correct work products, including—written report, memo, email, in person, and telephone communications.

  • Ability to type and proofread correspondence, and utilize common office equipment such as computer, copier, scanner and printer.

  • Experience with MS Office or Office 365.

  • Experience working in a high-volume office while multi-tasking, prioritizing workload, creative problem solving, and completing projects within deadlines.

  • Demonstrated ability to work independently and in collaboration with others.

Preferred Qualifications

  • Knowledge of university or higher education administrative processes

  • Experience supporting office operations or providing administrative assistance

  • Experience supervising or coordinating student workers or peers

  • Experience with event planning and coordination, including logistics and execution

  • Familiarity with social media platforms and content management

  • Experience managing shared email inboxes or responding to high-volume inquiries

  • Experience with inventory tracking or supply management

  • Familiarity with scheduling systems, room reservations, or calendar management

  • Experience with travel requests and expense reporting processes

  • Ability to take initiative and lead projects or events with minimal oversight

Job Description

The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.

Job Duties

  • Greet, screen, and assist office visitors.

  • Supervise student office workers by organizing, prioritizing, and directing work assignments and special projects.

  • Keep track of due dates for all assignments and projects.

  • Coordinate desktop copies of textbooks for Instructors of Record.

  • Assist in the preparation of end of semester student evaluations.

  • Manage department social media accounts.

  • Maintain room reservation system.

  • Track and maintain office and promotional materials inventory.

  • Take an active staff leadership role in the planning and coordination of annual department events including the Welcome Back Picnic, PANGEA , and the Scholarship and Awards Ceremony.

  • Co-coordinate department recruiting and display tables for various events including Bobcat Days, conferences, and special tabling opportunities.

  • Maintain and respond to inquiries sent to department email account.

  • Assist with travel requests and expense reports.

  • Coordinate departmental colloquiums activities including reception planning, set up, and breakdown.

  • Assist faculty and students as needed.

  • Attend university staff development workshops and /or training sessions as appropriate.

  • Other duties as assigned.
